Role Description
We are seeking a part‑time Dental Practice Manager to oversee the day‑to‑day operations of our growing practice. This on‑site role blends front‑of‑house leadership with essential administrative and operational responsibilities. You will manage appointment scheduling, patient flow, and reception processes to ensure a smooth, welcoming experience. You will also support core practice management tasks such as staff rota allocation, invoice payments, ordering supplies, and progressing the practice toward accreditation.
This role is ideal for someone who enjoys being hands‑on, thrives in a collaborative small‑team environment, and takes pride in creating a calm, organised, and supportive space for both patients and clinicians.
Key Responsibilities
- Coordinating billing, payments, and health fund claims
- Supervising and supporting administrative staff
- Liaising with dental clinicians and external providers
- Handling patient enquiries, concerns, and service issues
- Implementing systems to improve efficiency, communication, and service quality
- Managing staff rosters, ordering, and supplier relationships
- Working closely with the practice owner to meet operational and financial goals
Qualifications & Skills
We’re looking for someone who ideally:
- Has experience in Dental Practice Management or healthcare practice coordination
- Is familiar with dental software, scheduling systems, and clinical workflows
- Demonstrates excellent customer service and problem‑solving abilities
- Communicates clearly and professionally, both verbally and in writing
- Understands dental terminology, common procedures, and infection control principles
- Has experience with billing, health fund claims, and compliance processes
- Shows solid organisational skills, attention to detail, and the ability to prioritise in a busy clinical setting
- Holds a certificate or diploma in practice management, business administration, or has equivalent experience

Who We’re Looking For
We’re seeking someone who can strengthen the front‑of‑house experience while helping us build the operational foundation for steady, healthy growth. This role sits at the heart of the practice — greeting patients, creating a calm and welcoming environment, and acting as a trusted point of contact for those who may feel anxious about their visit. You’ll manage day‑to‑day front desk responsibilities, handle incoming enquiries, and ensure patients feel supported from the moment they walk in. If you’re comfortable stepping in behind the scenes during busy periods, that’s a bonus — but not essential.
This part‑time role (3–4 days per week) is ideal for an experienced practice manager or senior front‑of‑house coordinator who may be looking to step back from full‑time work while still contributing their knowledge, leadership, and operational insight in a meaningful way.
