About the role The Executive Support Officer will have responsibility of providing high-level, confidential support to the Director of Allied Health (DAH) Services and Director of Mater at Home (DMAH) to ensure the efficient working of these clinical departments. This role will work as part of the wider Executive Administrative Team to ensure organisational alignment and support the organisational strategy. This position is a permanent full-time position based at out South Brisbane campus.

Salary range: $46.96 - $51.73 per hour plus superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!

What you’ll be doing

- Actively seek to understand the needs of the organisation and the contribution of the DAH’s & DMAH’s Office to the organisational strategy
- Act as intermediary between the DAH/DMAH’s departments and internal and external stakeholders, effectively managing enquiries through intercepting, screening and redirecting as appropriate in a professional, timely and respectful manner
- Manage the flow of information between the DAH/DMAH’s Office and internal and external stakeholders, to ensure reporting timelines are met
- Exercise judgement, making appropriate decisions and resolving day-to-day operational issues
- Examine, prioritise and determine action of incoming correspondence including email, written correspondence and reports
- Provide high-level administrative support including diary management
- Research, collate and draft information into appropriate reporting formats as necessary for decision making purposes and presentation to various forums




- Prepare high-quality written correspondence and reports for dissemination to staff and other key stakeholders through effective written communication
- Organise meetings, workshops, prepare agendas, distribute meeting papers, take minutes and follow up on actions from meetings
- Maintain an effective document management system for storing confidential documents
- Maintain internal and external stakeholder relationships

About you

- 5 years previous administrative experience
- Health Industry and/or Hospital experience
- Ability to promote the Vision, Mission and Values of Mater
- High level facilitation and influencing skills along with strong decision-making skills with the ability to set, manage and implement priorities
- Significant, proven experience of identifying, developing, establishing and maintaining robust relationships with both internal and external stakeholders
- Ability to create and develop collaborative work environments where trust, integrity and open communication are valued
