Kabi Kabi Peoples Aboriginal Corporation (KKPAC) represents the Kabi Kabi peoples, the Traditional Owners of country extending from the North Pine River near Brisbane to the Isis River near Maryborough, encompassing large parts of the Sunshine Coast, Noosa and Gympie regions and the Conondale Ranges.

With significant and sustained development activity underway across the estate, KKPAC's Cultural Heritage Fieldworkers play a vital role in monitoring ground-disturbing works, identifying cultural heritage risks, and helping ensure Kabi Kabi cultural heritage is protected, respected and managed appropriately.

KKPAC is now seeking a Fieldwork Administrator to join the Cultural Heritage team on a permanent full time basis, based in Maroochydore.

About the Role You will coordinate the day-to-day scheduling and administration of KKPAC's cultural heritage fieldwork workforce. You'll make sure suitably experienced Fieldworkers are allocated to projects with the information, equipment and support they need to do their work well.

You'll also be an important point of contact for Kabi Kabi Fieldworkers and community members seeking work opportunities, helping support fair access to work, workforce development and the effective use of cultural knowledge and experience across KKPAC's Cultural Heritage projects.

Key Responsibilities

- Develop and maintain fieldwork rosters, coordinating changes in response to weather, delays and availability
- Allocate Fieldworkers to projects according to operational priorities, and monitor upcoming coverage needs
- Coordinate transport, accommodation, equipment and other logistics where required
- Communicate clearly with Fieldworkers around availability, travel arrangements and project information
- Ensure Fieldworkers receive project instructions, site information, safety inductions and reporting documents before commencing work
- Maintain accurate records of Fieldworker contact details, competencies, licences, training and performance




- Review and coordinate timesheets and allowances for payroll processing, following up any gaps or inconsistencies
- Support Fieldworker onboarding and ensure required employment and safety documentation is completed
- Coordinate Fieldworker participation in induction, training and professional development activities
- Build respectful, effective relationships with Fieldworkers, Traditional Owners and community members

About You

- Demonstrated administrative and coordination skills, with a high level of accuracy and attention to detail
- Proven ability to schedule people and resources across multiple projects in a time-sensitive, changing environment
- Robust organisational skills, with the ability to manage competing priorities and last-minute changes
- Strong verbal and written communication skills
- Ability to build respectful working relationships with Traditional Owners, community members, Fieldworkers and stakeholders
- Advanced proficiency in Microsoft Office, and confidence picking up new scheduling and record-keeping systems
- Experience maintaining accurate personnel, roster, training or project records
- Sound judgement and the initiative to recognise and escalate operational or workforce risks
- Ability to maintain confidentiality and handle culturally sensitive, personal and commercial information appropriately

Desirable

- Connection to Kabi Kabi culture and Country
- Knowledge of Kabi Kabi culture, community relationships and cultural protocols
- Experience in cultural heritage, construction, environmental monitoring or another field-based project environment
- Experience coordinating timesheets, allowances or other payroll-related information
