As we continue to grow, we are seeking a highly organised and detail-oriented Finance Administration Officer to support our financial operations and contribute to the ongoing success of our business.

About the Role

Reporting to the leadership team, the Finance Administration Officer will be responsible for recording of the day-to-day finance activities, ensuring accurate invoicing, maintaining accounts receivable and payable processes, and supporting the financial integrity of the organisation.

This role is ideal for someone who thrives in a fast-paced environment, is inherently accurate, and understands the importance of confidentiality and trust in a business that supports government, defence, cyber security, and commercial clients. Given the nature of this role and the importance of being able to address client account and internal stakeholder enquiries, this is an Office-based role located in Birtinya.

Key Responsibilities

· Assist in the preparation of customer invoices and credit adjustments accurately and in a timely manner.

· Assist with accounts receivable, including payment tracking and follow-up of outstanding accounts , identifying and actioning discrepancies.





· Process supplier invoices and maintain accounts payable functions.

· Assist in the reconciliation of customer and supplier accounts.

· Maintain accurate financial records and documentation.

· Assist with month-end reporting and account reconciliations.

· Support budgeting and financial administration activities.

· Liaise professionally and with clarity to with clients, suppliers, and internal stakeholders.

· Ensure compliance with company financial procedures and best practices.

· Handle sensitive financial information with the highest level of confidentiality.

· Monitor multiple email accounts and actioning as appropriate.

· Assist in payroll processing

· Ensuring our CRM and accounts software is updated to reflect correct and up to date data, including actions relating to new and potential clients.

About You

Essential skills:

· Exceptional attention to detail and accuracy.

· High levels of integrity, discretion, and professionalism.

· Excellent organisational and time management skills.

· Strong communication and stakeholder management abilities.

While not essential, the ideal candidate will bring:

· Previous experience in a Finance Officer, Accounts Officer, Bookkeeper, or similar role.





· Experience managing both accounts receivable and accounts payable.

· Strong invoicing and reconciliation experience.

· Sales support experience working closely with clientele across government and private industry.

· Intermediate Microsoft Excel skills.

· Experience using accounting software such as Xero, MYOB, ZOHO or similar.

· Ability to work independently while supporting a collaborative team environment.

· Previous CRM experience

· Ability and willingness to adapt to quick change

· Systematic approach to completing tasks

· Ability and willingness to update our internal learning module and advise relevant team members when processes change
