About the role

Positive Moods is seeking a dedicated and compassionate Intake Officer (NDIS) to join our administration team on a part-time basis. Based entirely online/ work from home this role is pivotal in ensuring that eligible participants receive timely access to our services and support. As an Intake Officer, you will be the first point of contact for individuals seeking NDIS-funded services, playing a crucial role in our commitment to providing exceptional care and support to participants within the National Disability Insurance Scheme (NDIS) framework.

Key responsibilities

- Conducting initial intake assessments and gathering comprehensive personal, medical and support information from NDIS participants
- Processing participant applications and documentation in accordance with NDIS requirements and compliance standards
- Verifying participant eligibility and NDIS plan details prior to service commencement
- Creating and maintaining accurate participant records and case files within our management systems
- Scheduling appointments and coordinating with service providers to facilitate smooth participant onboarding
- Responding to participant enquiries via phone, email and in person with professionalism and empathy
- Liaising with NDIS coordinators, participants and their representatives to clarify requirements and resolve administrative issues
- Ensuring all intake documentation is completed accurately and submitted to relevant parties within required timeframes
- Supporting the administration team with data entry and general clerical duties as needed

What we're looking for





- Previous experience in NDIS
- Demonstrable knowledge of the NDIS framework, eligibility criteria and participant pathways
- Robust organisational skills with the ability to manage multiple tasks and prioritise effectively
- Excellent written and verbal communication skills with the ability to interact professionally with diverse populations
- Proficiency with computer systems and familiarity with case management software or database systems
- Attention to detail and commitment to maintaining confidentiality and data security
- A genuine passion for supporting individuals with disability and promoting their wellbeing
- Customer service orientation and ability to work collaboratively within a team environment
- Preferred: Certification or training in medical administration or disability support services
