About the role

Charlestown Toyota is seeking a Junior Service Reception to join our dynamic team in Gateshead, NSW. This is a full-time position that plays a crucial role in delivering exceptional customer service and supporting the smooth operation of our service department. As the first point of contact for our customers, you will be instrumental in creating a positive experience and ensuring efficient workflow within our busy automotive service facility.

What you'll be doing

Your key responsibilities will include:

- Greeting customers warmly and professionally as they arrive at the service reception area
- Processing service requests and scheduling vehicle servicing and repair appointments
- Collecting and recording accurate vehicle and customer information
- Managing enquiries via phone, email and in person in a timely and courteous manner
- Explaining service procedures and associated costs to customers clearly and confidently
- Maintaining reception area cleanliness, tidiness and organisation
- Coordinating communication between service advisors, technicians and customers
- Processing payments and managing basic financial transactions
- Maintaining confidentiality and adhering to company policies and procedures
- Supporting the service team with administrative duties as required

- Strong communication and interpersonal skills with the ability to interact professionally with customers and staff at all levels
- A genuine passion for delivering excellent customer service and creating positive interactions




- Proficiency in using computer systems, email and administrative software
- Excellent organisational and time management abilities to manage multiple tasks and priorities
- Attention to detail and accuracy when recording customer and vehicle information
- A professional appearance and demeanour appropriate for a customer-facing role
- Reliability, punctuality and a positive, team-oriented attitude
- Previous reception or customer service experience is highly desirable
- Basic knowledge of vehicle terminology is advantageous but not essential
- A willingness to learn and develop your skills within the automotive industry
