About the Business
A well-established remedial building company specialising in remedial construction and building works is seeking an experienced Office Administrator to join its team, located in Southern Sydney. This is an excellent opportunity for an organised and proactive administrator who enjoys working in a busy environment and supporting estimators, supervisors, clients, suppliers and subcontractors.
About the Role
The successful candidate will play an important role in supporting the day-to-day administration and coordination of building projects, from quoting and contract preparation through to job management and client communication.
Key Duties & Responsibilities
The successful candidate must have experience in a number of the following areas:
- Entering new quotes and jobs into the company’s job management system
- Preparing and submitting quotes to clients through the job management system
- Reviewing reports for formatting, grammar and accuracy prior to submission to clients
- Preparing and applying for Home Owners Warranty insurance
- Submitting remedial development applications through the NSW Government planning portal
- Scheduling and coordinating estimator and supervisor inspections and appointments
- Preparing and submitting purchase orders
- Assisting with accounts payable and general financial administration
- Responding professionally to phone and email enquiries
- Preparing Home Building Contracts and submitting them to clients within required timeframes
- Assisting estimators and supervisors with obtaining supplier and subcontractor pricing
- Supporting supervisors with the administration of active jobs, including variations, extensions of time and client updates
- Maintaining and updating internal systems and records
- Monitoring and ordering office supplies
- General office administration and other duties as required
About You To be successful in this role, you will have:
- Previous experience in a similar administration role, preferably within the building, construction or property industry
- Experience working with job management or construction management software
- Experience with Xero or similar accounting software
- Strong Microsoft Office skills, particularly Word, Excel and Outlook
- Excellent attention to detail and accuracy
- Strong organisational and time management skills
- The ability to prioritise competing tasks and meet deadlines
- A proactive approach to problem-solving
- Excellent written and verbal communication skills
- The ability to work independently while also being a supportive team member
- A professional and friendly manner when dealing with clients, suppliers and subcontractors
Highly Desirable
Experience with remedial building, construction administration, Home Building Contracts, Home Owners Warranty applications and NSW planning/development applications will be highly regarded.
