We are seeking an experienced and highly organised Office Coordinator and Administrator to provide administrative support to our General Manager and coordinate a wide range of activities across the business.

About the role

This is a varied role suited to someone who enjoys organising people, events and projects, keeping tasks on schedule and ensuring nothing is overlooked.

The successful candidate will play a central role in coordinating office operations, staff and client events, training, human resources administration, compliance, marketing activities and commercial real estate support.

Key responsibilities will include

- Coordinating staff events, client functions, training programs, community initiatives and company activities
- Managing event timelines, bookings, invitations, suppliers, checklists and associated communications
- Providing administrative support to the General Manager
- Coordinating recurring office activities, schedules and compliance deadlines
- Assisting with human resources processes, including staff inductions, exits, training records, uniforms, staff information and performance development documentation
- Coordinating workplace health and safety administration, risk assessments,



incident reporting and compliance requirements
- Maintaining company policies and assisting with their review, implementation and staff training
- Managing office assets, equipment registers, maintenance schedules and insurance information
- Coordinating office and building maintenance, inspections and repairs
- Acting as the first point of contact for general staff IT issues and liaising with external IT providers
- Assisting with financial and management reporting, expense allocation and reimbursement checks
- Providing administrative support for commercial property management, leasing, sales and appraisal activities
- Managing and updating the Merrifield Real Estate website to ensure information is accurate, current and professionally presented
- Coordinating, preparing and distributing the company newsletter, including gathering content from across the business
- Maintaining databases, registers, checklists and administrative schedules
- Liaising with contractors, suppliers, government agencies and other external organisations
- Supporting special projects and identifying opportunities to improve office systems and processes

About you We are looking for someone who has:

- A minimum of five years’ administration experience
- Strong coordination, organisational and time-management skills
- Experience organising events, functions, training or workplace activities




- The ability to manage multiple projects, priorities and deadlines
- Excellent written and verbal communication skills
- Exceptional attention to detail and a commitment to producing accurate work
- Confidence using Microsoft Office and other business systems
- The ability to learn new software and processes
- Experience updating websites, preparing newsletters or coordinating business communications, or a willingness to learn
- A proactive and solutions-focused approach
- The confidence to take ownership of tasks and follow them through to completion
- The ability to handle confidential information with discretion
- A positive attitude and the ability to work collaboratively as part of a team

Previous experience in real estate, event coordination, human resources, workplace health and safety, compliance, marketing or office management would be advantageous but is not essential.

Hours

This is a permanent part-time position working from 9.00 am to 3.00 pm, four days per week.
