Position Overview:
The Executive Assistant will support the CEO and several members of the Senior Team. Will provide administrative and organizational support, will handle confidential and sensitive information in the course of business. The ideal candidate will be experienced in managing a wide range of administrative and executive support related tasks and will be able work independently.
This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a rapid-paced setting, with culturally diverse teammates and customer needs. The ideal candidate is an intelligent, meticulous, self-starter who is a great communicator, and extremely organized, with a well developed ability to prioritize and respond to new information as occurs daily in a rapidly moving start-up environment.
The ideal candidate must bring a developed ability to interact with staff (at all levels including Board Members) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient,
with a high level of professionalism. Confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.
Will provide administrative and organizational support, will handle confidential and sensitive information in the course of business. Will take initiative, and work effectively as part of the facility G&A; team.
Key Responsibilities:
- Provide high level administrative support to executive level management, including organizing and maintaining confidential information.
- Responsible for overseeing daily office administrative operations, managing facilities, and ensuring the workplace runs smoothly and efficiently.
- Organize in-house and off-site meetings. Responsibilities include handling logistics, materials, correspondence with attendees and coordination of overall meeting/event.
- Responsible for travel arrangements for senior team. This includes flights, conference registrations, confirmations, hotel accommodations and other transportation needs. It also includes travel expense management and compilation.
- Manage schedules and calendars.
- Act as key contact while executives are traveling and/or out of office. Responsibilities include screening telephone calls and forwarding messages.
- Answer and field telephone calls, and prioritize/ respond to inhouse requests for management time.
- Preparations for Board of Directors Meetings including arrangements for hotels, travel, meals, cars, etc. Materials to be prepared for meetings. Coordinate with IT that all equipment is ready prior to meeting.
- Handle administrative duties as needed including receiving mail, submitting expense reports and overseeing the efficient flow of information in and out of the office.
- Serve as the primary point person for contracts management and administration, logging all contracts of Company into central organized system.
- May provide day to day IT support such as printer management and other business needs
- Represent Company at front desk for visitors and general reception presence especially on formal visit days, board meetings, etc
- Tend to, organize, order and ensure office /kitchen supplies to ensure availability
Required Qualifications:
- Bachelor’s Degree or equivalent work experience, preferably in biotech/pharmaceutical industry, but not required, if start-up experience is evident.
- Minimum of 7-10 years of executive administrative experience supporting Executive Management and other top-level management
- Highly professional, very articulate, well-versed, extremely proactive, and self-motivated
- Requires limited direction and supervision to determine and accomplish tasks
- Exceptional judgment in prioritizing and making scheduling decisions
- Must be willing to go “the extra mile” to accomplish tasks and responsibilities
- Excellent oral communication and written communication skills
- High-level computer skills (MS Office – Word, PowerPoint, Excel, Access)
- Possess a proactive, highly motivated work ethic
- Express a flexible “can do” attitude and willingness to learn
- Capable of setting priorities based on a rapid-paced, changing environment
