OnBundock is a well established counselling, consultancy and coaching practice based in Townsville. We provide psychological and social work services, Employee Assistance Programs, critical incident support, assessments, workshops and training.
We are seeking a capable and highly organised Office Manager to oversee the daily operations of our practice and provide leadership and support to our administration team, practitioners and Directors.
This is a varied and trusted position suited to someone who is confident taking responsibility, managing competing priorities and following matters through to resolution.
About the Role
As Office Manager, you will be responsible for ensuring the practice operates efficiently, professionally and in accordance with relevant policies, procedures and compliance requirements.
Your responsibilities will include
- Leading, supporting and supervising the administration team
- Coordinating staff rosters, leave and daily workload allocation
- Supporting recruitment, onboarding, induction and staff training
- Overseeing practitioner schedules, room allocation and appointment capacity
- Managing billing, invoicing, outstanding accounts and general financial administration
- Supporting payroll processes and maintaining accurate employment records
- Monitoring practice performance, workflow and room utilisation
- Developing, reviewing and implementing policies and procedures
- Coordinating audits, compliance activities and workplace health and safety requirements
- Managing service agreements, funding arrangements and third party billing requirements
- Supporting EAP services, NDIS administration and other organisational programs
- Responding to operational issues and assisting with client concerns
- Maintaining privacy, confidentiality and accurate record keeping practices
- Identifying opportunities to improve systems, efficiency and service delivery
- Supporting the Directors with business planning, reporting and special projects
- Liaising with practitioners,
clients, referrers and external stakeholders
About You
We are looking for someone who:
- Has experience in office management, practice management or senior administration
- Is confident leading and supporting a team
- Has strong organisational and time management skills
- Can manage multiple priorities in a busy environment
- Demonstrates initiative and sound professional judgement
- Communicates confidently, respectfully and clearly
- Has excellent attention to detail and follows tasks through to completion
- Is comfortable managing sensitive and confidential information
- Can develop practical systems and improve administrative processes
- Is confident using practice management software, Microsoft Office and cloud based systems
- Understands the importance of balancing client care, practitioner needs and business requirements
Experience within an allied health, medical, psychology, NDIS or professional services environment will be highly regarded. Experience with payroll, bookkeeping, debt management, compliance or human resources would also be advantageous.
