The successful candidate will work alongside our Corporate Services and Tax leadership as well as a group of senior practitioners.
About the Role
We’re hiring a Practice Operations Coordinator to be the operational backbone of the firm — with a clear pathway to Practice Manager for the right candidate.
This role is ideal for someone currently in an admin, finance, or operations role who wants to step into a broader business operations position (with a finance focus) and grow into a Practice Manager.
In the short term, you’ll provide critical support to the executive team and assist in keeping our compliance engine running smoothly: bookkeeping, BAS preparation support, ASIC and ATO administration, and client communication and integration . Over the following 12 months, as automation reduces the manual lift on much of that compliance work, the role is designed to grow into practice operations, process improvement, and client servicing (with the aid of technology). Title and remuneration step up with it.

Core Responsibilities
Client services & communication
- First-touch handling of client emails and phone enquiries; warm, skilled triage and routing
- Following up clients for end-of-year and BAS information, balancing persistence with relationship sensitivity
- Drafting personalised client communications or ATO and regulatory updates
Compliance administration
- ATO portal — client authorisations, lodgement status and correspondence
- ASIC corporate procedures — annual reviews, new entity establishment (SMSF, trusts, companies), document gathering and completion
- BAS preparation support — exporting Xero reports, setting up workpapers for accountants, reconciliation set-up
Practice management (XPM)
- Lead management and new-client onboarding
- Client profile establishment and information gathering
- Invoice reconciliation, monthly statements, aged debtors
- Managing system-automated processes and flagging exceptions
Bookkeeping support
- Data entry and bank reconciliations in Xero
- Spreadsheet preparation in Excel (basic formulas)
What We’re Looking For
Required
- Strong written communication with clients and stakeholders.
- Experience working with financial data (bookkeeping, invoicing, reconciliations, or similar).
- Attention to detail across administrative and financial tasks.
- Ability to independently manage tasks and identify inefficiencies in processes.
- Experience using business systems (CRM, project management tools,
or practice software).
- Ability to manage multiple workflows, deadlines, and competing priorities.
Desirable
- Experience in accounting, bookkeeping, or financial operations environments.
- Exposure to client onboarding, client service, or account management.
- Experience working in professional services, consulting, or service-based businesses.
- Exposure to compliance processes, regulatory workflows, or structured procedures.
- Familiarity with tools such as Xero, Microsoft 365, or workflow automation systems.

What We Offer
- Competitive remuneration package ranging from $67,000 to $79,000 depending on experience, with progression to a managerial-level package on meeting agreed performance targets
