We are now seeking an experienced and highly professional Personal Assistant to the Executive Chairman to join the Chairman's Office at our Lonsdale headquarters.

The role

This is a genuine Personal Assistant position suited to someone who enjoys the traditional PA function and takes considerable pride in being organised, dependable, discreet and one step ahead.

Reporting to the Chief of Staff, you will provide comprehensive business and personal administrative support to the Executive Chairman.

The role extends beyond managing a corporate calendar. You will take responsibility for coordinating the Chairman's business and personal diary, appointments, travel, correspondence, meetings and day-to-day arrangements, ensuring his time is managed effectively and commitments are seamlessly coordinated.

You will work within a small and trusted team and will regularly handle highly sensitive, personal and confidential information. Discretion, judgement and absolute confidentiality are therefore fundamental to the position.





This role will suit an experienced PA who genuinely enjoys looking after the detail ? someone who remembers what needs to happen, follows things through, anticipates requirements and gets satisfaction from making a busy executive's day run smoothly.

Key Responsibilities

- Managing the Executive Chairman's complex business diary, ensuring appointments, meetings and commitments are effectively coordinated.
- Organising and maintaining the Chairman's personal appointments and diary commitments, including making bookings, confirming arrangements and providing appropriate reminders.
- Proactively identifying diary conflicts, priorities and upcoming commitments and resolving these before they become an issue.
- Acting as a key point of contact for the Chairman's Office and professionally managing telephone calls, correspondence, appointments and enquiries.
- Preparing and managing correspondence, documents, presentations and other administrative material.
- Coordinating domestic and international travel, including flights, accommodation, transport, itineraries and associated arrangements.
- Maintaining appropriate reminders and following up outstanding matters to ensure commitments and actions are completed.
- Assisting with personal administrative matters and arrangements for the Executive Chairman & Chief of Staff as required.
- Coordinating corporate dining, functions, events, reservations and other business or personal arrangements.




- Collating monthly reports from General Managers and preparing and distributing Director and Board packs.
- Coordinating Board meeting requirements, including preparation of the boardroom, documentation and refreshments.
- Maintaining accurate records, filing and confidential documentation.
- Providing occasional reception coverage when required.
- Liaising professionally with Directors, senior executives, employees, customers, suppliers and external stakeholders.

About You

- You enjoy organising, planning and taking care of the details. You don't wait to be told about every task ? you notice what needs doing and make sure it happens.
- You are equally comfortable arranging a Board meeting, reorganising an interstate itinerary, managing a personal appointment or ensuring an important commitment hasn't been overlooked.
- Importantly, you understand that supporting an Executive Chairman requires a high degree of trust, discretion, flexibility and personal service.
- At least 2?5 years' experience as a Personal Assistant, preferably supporting a Chairman, CEO, Managing Director, business owner or senior executive.
- Demonstrated experience managing complex business and personal diaries.
- Exceptional organisational and time-management skills.
- Outstanding attention to detail and a high standard of administrative accuracy.
- The ability to anticipate requirements and remain several steps ahead.
- A proactive, practical and hands-on approach.
- Exceptional discretion and the ability to handle highly confidential and personal information appropriately.
- Strong written and verbal communication skills.
