We are looking for an experienced, highly organised and proactive Practice Administrator to join our Brisbane team on a casual basis, working between 15-20 hours per week, with the potential for increased hours in the future. This is a varied role, working alongside our team of experienced midwives.
At My Midwives, no two days are the same! This is a varied and hands-on role suited to someone who enjoys being the person who keeps everything running smoothly behind the scenes. You will play an important part in supporting our midwives, ensuring our clients receive a seamless experience, and keeping the day-to-day operations of the clinic organised and effective.
About the role The Practice Administrator will be responsible for the administration and coordination of client bookings, hospital correspondence, appointment management, classes, clinic supplies and general practice operations.
You will work closely with our midwives and be responsible for ensuring that information, documentation and bookings are accurate, current and ready when required.
Key Responsibilities
- Provide a warm, skilled, and reassuring front desk experience
- Manage a high volume of calls
- Coordinate appointments and maintain clinic flow
- Work closely with the midwives
- Use CRM and practice management systems confidently
- Maintain accuracy while balancing competing priorities
- Maintaining the clinic space
About you We are looking for someone who has a minimum of 5 years' experience in a similar administration role and understands the importance of accuracy, confidentiality, organisation and exceptional client service.
You will ideally be someone who:
- Has previous medical administration experience (desirable)
- Is highly organised and able to manage multiple priorities
- Has excellent attention to detail
- Is confident communicating with clients, midwives, hospitals and other healthcare professionals
- Is proactive and able to anticipate what needs to be done rather than waiting to be asked
- Can work independently and take ownership of their responsibilities
- Is comfortable working in a busy healthcare environment
- Has strong computer and administrative skills and is confident learning practice management systems
- Understands the importance of privacy and confidentiality in a healthcare setting
- Takes pride in keeping a clinic organised, welcoming and running efficiently
