About the role
The Suites at Wickham House is a boutique specialist psychology and psychiatry practice on Wickham Terrace in Spring Hill, now expanding to a second site, The Suites at 88 Limestone, in Ipswich. We are seeking an experienced Practice Manager to lead the day to day operations, growth and P&L; performance of both locations. This is a genuine leadership role. You will be accountable for the smooth running of our consultation suites, our administrative team, and several teaching and professional development programs delivered from within the practice. You will work closely with our Clinical Director and Managing Director, and with a team of senior administrators who support you in running the front of house function.
We need someone genuinely across the detail of all sites, not just the one they are based at. This is not a role for someone who reports problems and waits. We want a manager who notices issues early, thinks them through, and comes to us with a range of solutions. Someone calm, who stays steady and thinks clearly under pressure rather than being drawn into the nitty gritty or rattled by it.
We are a relational practice, and we need a relational manager: someone who communicates early, follows through on what they say they will do, sets and achieves outcomes and takes real ownership of problems rather than waiting to be asked twice. Onboarding and training specific to how we operate will be provided, but this role calls for maturity, sound judgement, critical thinking,
the capacity to deal with uncertainty and change and prior experience managing a medium to large medical and/or allied health practice.
We offer above market remuneration, with pay negotiated based on attitude, experience, skills and qualifications.
Key responsibilities
- Clinic operations: oversee daily administrative activity across all sites, ensuring smooth, efficient practice management and pre-emptive problem-solving, not just reactive fixes
- Practitioner liaison: work with practitioners to optimise scheduling, room bookings and client experience, and oversee (with clinical staff support) the templating and drafting of clinical letters and reports
- Assets and rooms: manage stock, room utilisation, and the upkeep of facilities and equipment to a high standard across both locations
- People leadership: manage and support administrative, clinical and management staff, build a positive and accountable culture, and own recruitment, onboarding, training and performance management
- Finance: oversee practice finances including invoicing, payments and budget management
- Marketing and business development: coordinate marketing, referral generation, website and social media management and business development initiatives alongside leadership, including oversight of the CPD and training programs (RELATE and CURIOUS) run through the practice
- Executive support:
provide direct, comprehensive executive support to the Clinical Director and Managing Director as required
- Communication: keep leadership genuinely informed, and close the loop on tasks, requests and issues
About you
- Essential: you have worked in, or come from, a general practice, or a psychology and/or psychiatry practice
- At least 5 years' practice management experience in a medical or allied health setting is preferred
- A problem solver by nature: you bring options and possible solutions along with the problem, not just the problem itself
- Calm under pressure, and able to think clearly and stay steady when things get busy or difficult
- A track record of proactive communication and reliable follow-through, not just competent administration
- Genuinely across the detail of more than one site, and comfortable being hands-on at both Spring Hill and Ipswich, not just the one you call home base
- Sound understanding of the Australian Medicare system and referral pathways
- Familiarity with a range of practice management software packages is an advantage
- Strong leadership and interpersonal skills, with the ability to motivate, support and hold a team accountable
- Comfortable managing competing priorities and adapting to changing demands across two sites
- Flexibility with hours and travel between sites during busy periods or as practice needs require
- Excellent communication and organisational skills, with solid attention to detail
- A high level of professionalism and discretion
