Mental Health First Aid International (t/a MHFA Australia, MHFAI) is a global health promotion charity dedicated to the provision of evidence-based education programs that increase mental health literacy, reduce stigma, and help people develop the skills they need to encourage others to seek professional help.

About the role
We are seeking a highly organised Program Coordinator who provides administrative and coordination support for the Implementation and delivery of products, programs and initiatives across our Australian Operations team. Reporting to the Strategic Projects Manager, you will plan, coordinate and deliver a range of activities that support program delivery, applying established and new methods, standards and procedures while exercising judgement and initiative.
You will manage the day-to-day delivery of courses, resolve enquiries and support outreach, maintain records and systems, assist senior team members, and deliver discrete projects with limited supervision — all contributing to consistent, high-quality program delivery.
Key responsibilities of the role include:
- Coordinate the delivery of Australian contracts, funded programs and initiatives in line with established work procedures and contribute to continuous improvement and new rollouts.
- Provide end-to-end coordination support, including venue and catering bookings, listing courses on the website, and issuing communications and materials to instructors and participants.
- Support monitoring and evaluation activities, including maintaining documentation and records.
- Maintain systems and processes supporting stakeholder engagement, database management and program tracking.
- Provide timely, professional responses to stakeholder enquiries and support proactive outreach.
- Assist with the transition and onboarding of new contracts, programs and relationships into Australian Operations.
- Prepare updates and materials, resolve routine delivery issues and escalate matters requiring policy interpretation or senior decision-making.
About you
You will have
- Demonstrated experience coordinating programs, projects or service delivery, with a genuine commitment to diversity, equity, inclusion and lived experience in service design.
- A natural ability to build relationships with internal and external stakeholders, working collaboratively to agreed deadlines.
- Attention to detail and accuracy in record keeping, data entry and routine reporting
- Ability to plan your own work, juggle competing priorities and deliver on time under general direction.
- Sound oral and written communication skills,
confident judgement and initiative, and working knowledge of Microsoft Office and database or CRM systems.
Desirable, but not essential: a relevant certificate or tertiary qualification, and a current Mental Health First Aid licence.
