About the role
We are looking for a Program Coordinator to support the delivery of the CLEAR and TIPS courses as part of our Skills Training program. Working closely with the Manager, Skills Training and Senior Program Coordinator, you will coordinate the practical and administrative aspects of courses and events, helping to ensure they run smoothly for participants, trainees and faculty.
Your responsibilities will include
- Supporting faculty with course registrations and travel arrangements.
- Processing and managing event registrations, including enrolments and withdrawals.
- Coordinating venue bookings, catering and other event requirements.
- Monitoring course expenditure and supporting accurate financial administration.
- Liaising with venues, caterers, travel providers, course presenters and other suppliers.
- Attending courses and events as required to coordinate logistics and support participants and faculty.
- Working with the Manager, Skills Training and Senior Program Coordinator to evaluate courses and identify ways to improve their delivery.
- Maintaining accurate databases, records and course information.
- Preparing correspondence, reports and other communications as required.
This is a practical coordination role where attention to detail, organisation and good communication are important to the successful delivery of each course. The role is 0.7 FTE (7 days per fortnight) and is a 12-month parental leave maximum term contract. Flexible working hours and hybrid work arrangements can be negotiated.

About the team The Skills Training team coordinates and manages five Skills courses delivered by the Royal Australasian College of Surgeons (RACS)
across Australia and Aotearoa New Zealand. We work closely with faculty, nurse coordinators, venues and other RACS teams to provide a well-organised learning experience for participants and trainees. The team works collaboratively and supports each other to manage the many details involved in delivering courses and events.
The role reports to the Manager, Skills Training and works closely with the Senior Program Coordinator, Skills Courses and a range of internal and external stakeholders.
About you
You will be organised, reliable and comfortable coordinating multiple tasks and working with a range of people.
You will have
- A Certificate or Diploma in Business Administration, Event Management, Education or a related field, or equivalent work experience.
- Experience coordinating events, courses or educational workshops.
- Strong customer service skills and the ability to communicate clearly and respectfully with people at different levels, including senior staff, Fellows, vendors and course presenters.
- Excellent written communication skills, including the ability to prepare clear emails, correspondence and reports.
- Strong organisational and time management skills, with a valuable eye for detail.
- The ability to solve problems and respond calmly when plans change.
- The ability to work independently while also contributing effectively to a team.
- Intermediate Microsoft Office skills.
- Experience working with databases and reporting systems; experience with Dynamics 365 would be beneficial.
