About the Role
Ark Care Partners is seeking a dedicated Programs Administrator to join our team to assist clients achieve their goals and receive safe, quality supports aligned to individual preferences through the thorough and efficient completion of service agreements, care plans and associated documents.
Key Responsibilities In this role, you will:
- Assist with participant intake, onboarding, and required documentation to ensure a smooth and positive commencement of services.
- Process referrals and enquiries and coordinate appropriate service responses.
- Build and maintain positive relationships with participants, families, allied health professionals, care partners, and internal teams.
- Support participants to understand and manage their available funding and services.
- Maintain accurate participant records, case notes, documentation, and communication logs.
- Monitor and update care plans, risk assessments, and other participant documentation in accordance with Ark Care Partners policies and regulatory requirements.
- Receive, record, and escalate incident reports, feedback, complaints, and other concerns appropriately, contributing to continuous improvement.
- Coordinate required training for support workers and maintain accurate training and compliance registers.
- Work collaboratively with internal teams, including Rostering, to ensure participants receive consistent, high-quality and ongoing support.
- Conduct regular participant reviews and risk assessments to ensure supports remain aligned with participant goals, needs, and identified risks.
- Monitor and report on outstanding tasks, backlogs, compliance requirements and areas requiring follow-up.
- Provide general administrative and program support to ensure the effective day-to-day delivery of services.

- Is proactive, reliable, and able to work independently while also contributing positively to a team.
- Demonstrates a high level of professionalism, ethical standards, confidentiality, and personal integrity.
- Is committed to providing person-centred, respectful, and high-quality support.
Requirements:
- Current Working with Children Check (VIC) or willingness to obtain
- NDIS Worker Screening Check or willingness to obtain
- Full Australian working rights
Experience and Knowledge
- Proficient in Microsoft Office.
- Understanding of NDIS, TAC and/or Support at Home (SaH) requirements, rules, and standards.
- Previous experience in administration, disability, aged care, community services, or a similar environment will be highly regarded.
