We are seeking a highly organised, proactive and tech-savvy Practice Manager & Administrator to join a fast-paced, growing public accounting firm based in Penrith. This is an excellent opportunity for someone who thrives in a high-performing environment and enjoys supporting both office administration and practice management functions.

This role is full time. You will work across three locations — Penrith, Faulconbridge and Katoomba — and play a key role in keeping the firm's day-to-day operations running smoothly.

The Role

Working closely with accountants and the practice production team, your responsibilities will include:

Acting as office manager, including purchasing daily office supplies and maintaining the offices

Greeting visitors and clients and managing reception and phone enquiries with professionalism

Booking and selling online meetings with potential clients

Managing a high volume of email correspondence efficiently and accurately

Maintaining and ensuring the accuracy of client data within internal databases and systems

Managing filing and archive systems to keep client records organised and accessible

Preparing reports and tracking workloads for employees, including monitoring incomplete tax returns

Following up outstanding work to ensure timely completion of client obligations

Maintaining up-to-date compliance records via the ATO Portal

Maintaining company and compliance records via ASIC

Copying, saving and organising documents across multiple office locations

Supporting the broader team with general administrative and practice management tasks

About You To be successful in this role, you will ideally have:





1–3 years of experience in public accounting or practice management

Previous experience using Xero and Xero Practice Manager (XPM) is required

Experience with Karbon is highly regarded

Strong computer literacy, including confidence with Microsoft Outlook, Excel and Word A natural aptitude for numbers

Excellent organisational skills and the ability to manage multiple priorities without losing focus A proactive, self-driven approach with a focus on improving efficiency

Robust communication and interpersonal skills, with the ability to engage professionally with clients and team members The ability to stay calm under pressure and adapt quickly to changing priorities A fast learner who picks up new tools and processes with confidence

Pay: $60,000 – $90,000 per year
