As Operations Coordinator, you will be the organisational engine behind our national drone survey operation. You will own the administrative backbone of every job - from the moment a deal is won through to scheduling, field logistics, delivery confirmation and invoicing - so our Chief Remote Pilot and field crews can focus on flying safely and delivering exceptional data. This is a role for someone who loves bringing order to moving parts and takes real pride in clean, efficient systems.

KEY RESPONSIBILITIES

Scheduling & Logistics:

n

n
- Check pilot availability and coordinate job scheduling across a national job board
n
- Book flights, accommodation, car hire and ground transport for field deployments
n
- Arrange compliant transport of RPA equipment and lithium batteries, including dangerous-goods documentation and courier bookings
n

n

Job Administration (Deal to Invoice):

n

n
- Monitor won deals for purchase orders and follow up clients where POs are outstanding
n
- Create work orders from POs and ensure no job is scheduled without complete paperwork
n
- Confirm data delivery with the technical team and raise invoices promptly on completion
n
- Track job status end-to-end so nothing falls between won, flown, delivered and paid
n

Client & Site Communication:

- Confirm capture dates and access arrangements with clients and site contacts
n
- Notify clients promptly of weather delays or scheduling changes
n
- Be a friendly, reliable first point of contact for operational queries
n

Compliance & Onboarding Administration:

n

n




- Maintain company registrations in client contractor-management and induction portals (insurances, SWMS, pilot inductions)
n
- Administer subcontractor pilot onboarding (certificates, insurances and agreements), and keep records current
n
- Support the Chief Remote Pilot with operational record-keeping and audit preparation
n

Systems & Data Hygiene:

n

n
- Keep our CRM, job management and finance systems accurate and up to date
n
- Identify and fix gaps or inconsistencies in records rather than working around them
n
- Support continuous improvement of our workflows and help document processes as we scale
n

WHO WE ARE LOOKING FOR

We are looking for a highly organised coordinator or administrator who thrives on structure, follows through relentlessly, and communicates clearly with everyone from field pilots to enterprise clients.

- Demonstrated experience in operations coordination, scheduling, project administration or similar (field services, aviation, construction, surveying or logistics environments highly relevant)

- Exceptional organisation and attention to detail
n
- Confident, professional communicator across phone and email with clients, suppliers and field staff
n
- Comfortable working across multiple software systems (CRM, job management, finance) and quick to learn current tools
n
- A methodical, process-driven approach - follow and improve systems where possible
n
- Able to juggle competing priorities calmly in a fast-moving environment
n

Highly regarded

- Exposure to dangerous-goods shipping requirements (lithium batteries)
n
- Experience with induction portals (e.g. Avetta, LinkSafe, Rapid Global, Damstra)

- Familiarity with invoicing workflows and accounts administration

- Exposure to drone, aviation, surveying or geospatial operations
