Ray White Collective is seeking an exceptional Senior Sales Administrator to join their high-performing team at their premier New Farm office. This is a critical leadership role at the heart of our sales operation, where you will oversee end-to-end sales processing, ensure flawless legislative compliance and drive operational excellence across the administration team.

The Opportunity
n
From contract execution to Trust accounting and live auction execution, you will serve as the backbone of our admin engine in a agile, fast-paced environment. You'll lead and mentor a talented admin team while managing critical compliance, financial reporting and stakeholder relationships across the business.

What You'll Do
n
n
- Prepare, review and verify sales contracts with high accuracy
n
- Track transactions through to settlement and manage commission disbursements
n
- Stay ahead of QLD regulatory changes, including Seller Disclosure and AML obligations
n
- Lead the admin team for auction events, ensuring compliant, smooth-running operations
n
- Perform daily Trust account reconciliations and deliver accurate EOM reporting
n
- Lead, mentor and support the wider administration team
n
n
Key Responsibilities
n
n
- Preparing,
reviewing and verifying sales contracts with a high level of accuracy.
n
- Executing and distributing contracts to solicitors, tracking each transaction through to settlement.
n
- Monitoring critical condition dates, processing settlements and executing commission disbursements and deposit transfers.
n
- Keeping across Queensland regulatory updates, including QLD Seller Disclosure requirements, AML obligations and contract amendments.
n
- Auditing and verifying all auction documentation prior to auction events.
n
- Leading the admin team for all in-room auction events, ensuring smooth operations and compliant record-keeping.
n
- Performing daily trust account reconciliations, banking and receipting.
n
- Delivering accurate end-of-month financial and operational reporting.
n
- Leading, mentoring and supporting the administration team to maintain high operational standards.
n
- Communicating professionally with internal stakeholders, clients, solicitors and third-party vendors.
n

The Ideal Candidate
n
An experienced real estate Sales or Contracts Administrator with advanced, up-to-date knowledge of QLD real estate legislation, prior team leadership experience and solid hands-on Trust accounting skills, who brings exceptional organisation, attention to detail and polished communication under pressure.
