Primary objective

Provide a high-level ministerial liaison and Secretariat service to the Department and the Minister's office’s daily, with a particular responsibility for coordination and quality control of all Cabinet papers and correspondence.

Context statement The Secretariat branch provides a coordination and quality assurance service to ensure timely,



appropriate and effective communication and support to the Office of the Chief Executive and between the Department of Health and its Minister’s office’s, Cabinet office and other government agencies.

Key duties and responsibilities

- Coordinate the preparation of the Department’s Cabinet Submissions and comments on other agencies’ Cabinet Submissions in a timely manner.
- Coordinate legislative, Ministerial and Cabinet processes, including recording, monitoring and quality assurance of correspondence,

briefings, submissions and related documents.

- Respond, in a timely manner, to requests from the Minister’s Office’s for information/briefings and note current issues affecting the

Department to ensure that the Minister’s Office and the Chief Executive (CE) are briefed, including supporting coordination of

CE/Minister meeting agenda and papers.

- Actively participate in quality improvement of processes and protocols within the Secretariat branch.
- Provide advice to Departmental staff on procedures and protocols for ministerial matters and assist with maintaining the Ministerial

Liaison Handbook, guides and intranet site.

- Provide advice and assistance to Departmental staff in the preparation of quality ministerial correspondence, Legislative Assembly briefings and Cabinet Submissions.
- Assist the Director and Deputy Director with day to day matters as requested.




- Maintain the currency and accuracy of information held in systems for the processing of Ministerial and Cabinet documents.
- Follow defined service quality standards, Workplace Health and Safety (WHS) policies and procedures relating to the work being undertaken in order to ensure high quality, secure services and workplaces.

Selection criteria

Essential

- Sound knowledge of, and experience in, providing effective support and advice on ministerial correspondence and executive government requirements, processes and procedures, or proven capabilities to quickly acquire the knowledge to perform this job at the required level.
- Demonstrated high level written and oral communication skills, including good proof-reading skills and ability to prepare high level quality documentation.
- Demonstrated high-level organisation and time management and ability to work with initiative, enthusiasm and limited supervision as part of a small busy team.
- Demonstrated high level of computer literacy and word processing skills, experience in the use and management of a shared Outlook inbox, data entry and database management, including experience using HPE Content Manager (TRM), or similar systems or transferable experience demonstrating the ability to quickly learn and use such systems.
- Experience in dealing with confidential and sensitive matters with discretion.
- Demonstrated leadership within a small team, including interacting effectively with people from diverse cultures with a willingness to work extended hours on occasion if required.
