About the Role
We are seeking an organised, welcoming, and hospitality-focused Studio Coordinator to run our future Pop-Up Photography Sessions in Perth. This role is integral to ensuring smooth day-to-day operations — track the daily client list, coordinate schedules, and ensure a flawless, 5-star end-to-end client experience with our creative team. This is a freelance position requiring a commitment of 1–2 days per week (with general availability across Friday and Saturday, working 8-10 hours per day).

Key Responsibilities
- Act as the face of the studio, managing client arrivals, meet-and-greets, and providing general hospitality (including managing snacks and refreshments) to ensure a comfortable experience.
- Actively manage the daily shoot calendar (5-8 shoots per day) to ensure all clients move seamlessly and on time between the photographer, hair and makeup artists (HMUA), and viewing appointments.
- Coordinate and bring together various team members—acting as the central link between clients and the creative team to ensure everyone is aligned for a successful shoot.
- Oversee the physical workflow of the pop-up space, assisting with the morning setup and end-of-day pack-down.
- Maintain studio tidiness, monitor basic stock/refreshments, and ensure all daily sessions run smoothly and professionally.
- Ensure effective file management and backup processes with IT Department & Head of Creative.
- Uphold all TPS policies, procedures, and OH&S; requirements.
- Manage studio stock, equipment, hire-facilities, and creative sets in consultation with the Head of Creative & Studio Managers.
- Report on creative team performance & client experiences. Provide simple operational feedback and reports if required.
- Build and maintain strong internal stakeholder relationships and effective relationships with suppliers/freelancers.
About You
- A background in photography industry, campaign execution or advertising production is highly favored.
- Demonstrated experience in liaising with different personalities and bringing various team members together to achieve a common goal.
- Previous studio experience or a general understanding of photography and on-set studio workflows is preferred, though not mandatory if the right fit.
- Outstanding time-management capabilities with a sharp focus on detail and keeping schedules on track.
- Solid communication skills and a natural ability to make clients feel welcomed, confident, and pampered.
- Availability to work 8–10 hour days across Fridays & Saturdays, with full working rights in Australia.
- Can work diligently alone & with a team.
- Have reliable transport to north-eastern suburbs of Perth.
