About the opportunity
Britetech is looking for an experienced and highly organised Purchasing & Internal Sales Officer to join our Midvale team.
This is a practical, hands-on role combining supplier purchasing, customer quotations, order processing, stock coordination and project support.
You will help ensure our customers and project teams receive the correct products and materials at the right price and at the right time.
The position would particularly suit someone who has worked in automotive parts, electrical wholesale, industrial supply, construction products, telecommunications distribution or a similar trade-supply environment.
This is not a corporate procurement or people-management position. It is an operational role for someone who enjoys working with products, suppliers, customers, pricing, purchase orders and stock.
You will work closely with our sales, warehouse, engineering, operations and project teams.
As a Veteran Employer of Choice “We proudly support veteran employment and strongly encourage applications from current and former members of the Australian Defence Force.”
Key responsibilities
Purchasing and supplier coordination
- Source telecommunications equipment, components, materials and subcontracted services
- Request and compare supplier quotations
- Negotiate pricing, lead times, freight arrangements and delivery dates
- Raise and issue purchase orders
- Follow up outstanding orders and expedite urgent deliveries
- Monitor supplier lead times and identify potential supply problems
- Find suitable alternative products or suppliers when required
- Resolve pricing, delivery, damaged-goods and incorrect-shipment issues
- Maintain accurate supplier pricing and purchasing records
- Develop productive, qualified relationships with existing and new suppliers
Customer quotations and internal sales
- Prepare accurate and commercially competitive customer quotations
- Obtain and confirm supplier pricing, product availability, freight costs and lead times
- Check product codes, quantities, pricing and margins before quotations are issued
- Respond to customer enquiries about products, pricing, availability and delivery
- Follow up information required to complete quotations
- Convert accepted quotations into sales orders and purchasing activities
- Monitor quotation validity periods and update pricing when required
- Suggest suitable alternative products when the requested item is unavailable
- Provide responsive and professional service to customers
Parts and project support
- Work with engineering, sales, operations and project teams to understand material requirements
- Assist with bills of materials using drawings, scopes of work and technical information
- Source products and prepare pricing for projects
- Coordinate long-lead items and critical project materials
- Monitor purchasing progress against required delivery dates
- Provide order and procurement updates to internal teams
- Identify material or supplier issues that may affect project delivery
- Ensure required materials are available before scheduled project work
Inventory and order coordination
- Monitor stock levels and arrange replenishment
- Work with the warehouse team to coordinate incoming orders and project materials
- Review usage, supplier lead times and upcoming requirements
- Help prevent stock shortages and unnecessary overstocking
- Maintain accurate product, stock, supplier and order information in company systems
- Assist with stocktakes when required
- Coordinate the purchase of critical spare parts and frequently used products
Purchasing administration
- Check supplier invoices against purchase orders and delivery documentation
- Maintain purchase orders, supplier quotations and related records
- Assist with the setup of new supplier and customer accounts
- Complete supplier and customer forms, portal registrations and supporting documentation
- Maintain current supplier insurance, certification and compliance records where required
- Help ensure purchasing documentation is accurate, complete and easy to audit
About you
You are organised, practical and comfortable managing several orders, quotations and priorities at the same time.
You enjoy following an order from the initial enquiry through to purchasing and delivery. You communicate clearly, follow up without being prompted and pay close attention to product codes, quantities, pricing and delivery dates.
You do not need to come from a large corporate procurement department. Experience in a busy parts, wholesale, distribution or trade-supply business is highly relevant.
Skills and experience
To be successful, you will ideally have:
- At least three years’ experience in purchasing, internal sales, parts, inventory or order coordination
- Experience preparing customer quotations and raising purchase orders
- Experience dealing directly with suppliers and customers
- A good understanding of stock, product codes, pricing and lead times
- Strong attention to detail and numerical accuracy
- The ability to manage competing priorities in a fast-moving environment
- Confidence communicating by telephone and email
- Experience using an inventory, accounting, ERP or CRM system
- Competence with Microsoft Office, particularly Excel
- Australian working rights
Experience with any of the following would be advantageous:
- Automotive, machinery or equipment parts
- Electrical or communications wholesale
- Industrial, construction or trade supplies
- Telecommunications products
- MYOB, Acumatica or a similar business system
- Bills of materials, drawings or technical product information
- Project quotations or tender-pricing support
Formal procurement qualifications are not essential. Relevant hands-on industry experience, accuracy, initiative and customer service are more important.
Personal qualities
We are looking for someone who is:
- Reliable and accountable
- Proactive with supplier and order follow-up
- Highly organised and accurate
- Comfortable solving product and delivery problems
- Commercially aware without losing attention to detail
- Helpful and professional with customers and suppliers
- Able to work independently while contributing to the wider team
Calm and productive when priorities change
