We are looking for an exceptional Probate Assistant / Paralegal to join Rennick & Gaynor, a boutique law firm located in Hawthorn East (and Geelong).

In this role, you will provide direct support to the Wills & Estates team, contributing to the smooth coordination of all probate administrative functions across all matters.

Key Responsibilities
Provide dedicated support to two special counsel and one solicitor
Preparing applications for grants of Probate and Letters of Administration
Correspondence with clients, beneficiaries, financial institutions and other organisations in a qualified and timely manner
Drafting documents for estate planning, including Wills and Enduring Powers of Attorney
Stay closely involved in matters to coordinate deadlines, tasks, file management, court filings,



and registrations
Coordinate internal matters, client communications, and track progress across files

What We’re Looking For
5+ years’ experience in a Probate/Legal Assistant, Executive Assistant, or Paralegal role
Strong exposure to Wills & Estates
Excellent organisational ability, strong initiative, and confidence working autonomously
Explicit, professional, and effective communication skills
A friendly, approachable, and confident manner
Comfortable working with all stakeholder levels and clients, balancing multiple priorities
