An exciting opportunity is available for an experienced Project Administrator to join a Development Project team within a well-established organisation in the energy and infrastructure sector.
This is a great opportunity for someone who enjoys working in a project environment, coordinating multiple priorities and being the person who keeps the team organised and projects moving forward.
About the Role
Working closely with the Development Project team, you will provide comprehensive administrative and coordination support across a range of project activities.
You will play an important role in maintaining project documentation, coordinating meetings and workshops, tracking project milestones and actions, preparing reports and ensuring project systems and records are maintained accurately.
This is a busy and varied role that will suit someone who is highly organised, proactive and confident working with a range of internal and external stakeholders.
Key Responsibilities
Project Administration
Maintain accurate project documentation, records and filing systems
Coordinate and distribute meeting agendas, minutes and action items
Track project milestones, deadlines and deliverables
Update project schedules and status reports
Maintain document version control and ensure project standards are followed
Coordination & Stakeholder Support
Coordinate meetings, workshops and project events
Liaise with project team members, stakeholders, suppliers and other external parties
Distribute project communications and updates
Follow up outstanding actions, decisions and deliverables
Support Project Managers with day-to-day project administration
Reporting & Project Tracking
Maintain project registers, including risks, issues, actions and decisions
Collect and consolidate project progress information
Prepare regular project reports, dashboards and presentations
Monitor and report on project administration activities
Assist with project planning, scheduling and resource coordination
Procurement & Administration
Support the procurement of goods and services in line with project requirements
Raise purchase requisitions and purchase orders
Maintain supplier and contractor records
Process invoices and expense claims
Liaise with suppliers regarding orders and delivery schedules
Assist with project expenditure tracking
Systems & Governance
Maintain project management systems, tools and databases
Ensure project records are accurate and up to date
Support audits, reviews and compliance activities
Assist with onboarding and off boarding project team members
Support document control and governance requirements
About You
We're looking for someone with previous experience providing project administration within a project, program or business setting.
You Will Ideally Have
Experience working within a project, program, infrastructure, engineering, construction, energy or similar environment
Strong organisational and time management skills
Experience coordinating meetings, workshops and stakeholder communications
Demonstrated experience maintaining project documentation and records
Experience tracking project actions, milestones and deliverables
Strong written and verbal communication skills
Excellent attention to detail and the ability to manage competing priorities
Confidence working with a range of internal and external stakeholders
A proactive and solutions-focused approach
Strong Microsoft Office skills, particularly Excel, Word, PowerPoint, Outlook, Teams and SharePoint
The ability to quickly learn and navigate project management and business systems
