The Chance
We are seeking a highly motivated individual for the position of
Operations Coordinator
based in our
Noosa office
.
Working within the IRONMAN® Oceania team, the Operations Coordinator is responsible for supporting the Operations Team in the effective and efficient planning, delivery and post event reports and administration of all event operations specific to the Oceania Portfolio of events.
Key Responsibilities:
Work as part of the Noosa Operations Team and actively participate in scheduled meetings, operational briefings, and event delivery discussions.
Be available to work weekends as required to support event delivery.
Be willing to travel interstate to other IRONMAN offices for meetings, planning sessions, and operational workshops.
Scope and coordinate equipment requirements for course and venue planning and delivery, including cost control and reporting.
Coordinate event specific supplier and contractor service agreements including products & services sourcing, quoting, ordering, delivering and acceptance to required location.
Scope, coordinate, and manage contractor, supplier, and service provider requirements for course and venue planning and delivery
Venue management of start lines, finish lines, compounds, transitions, festival areas, aid stations, athlete village and expo.
Logistics management – including medical, equipment, race supplies and Health & Safety.
Create detailed event documents for event planning, record keeping and communication to IRONMAN staff and stakeholders including but not limited to manuals, briefing documents, site plans, course maps, operational and participant documentation.
Support relationships and lodge operational permits, requirements and sanctioning documents as required for event delivery with relevant governing agencies.
With support of the Operations Manager prepare, update and communicate the Emergency Preparedness Plan and supporting documents e.g. Aquatic Plan, Risk Management Plan.
With support of the Operations Manager develop and implement Traffic and Transport Plans with a supporting Community Consultation Plan.
Stakeholder liaison including police/ supplier/ city council, site visits etc.
Ensure stakeholder views are managed towards the best solution.
Prepare, update and implement Signage Plan requirements including working with Partnerships to ensure Partner & Sponsor requirements are met.
Provide input into the planning, evaluation, and procurement of capital assets that support the delivery and operational requirements of the IRONMAN® event portfolio.

Qualifications & Experience:
A minimum of two years' experience in the Event's industry preferred.
A tertiary qualification, preferably in Event Management or similar field with transferable skills & knowledge (event industry experience may be considered to replace tertiary qualification requirement).
Experience managing health, safety, risk, and compliance including documentation, systems and processes.
Ability to multi-task, work under pressure and within required deadlines.
A high level of computer skills in the Microsoft Office Suite.
Financial awareness to engage in budget management.
Excellent interpersonal, communication and presentation skills.
Valid Working with Children Check.
Police clearance check.
Ability to obtain First Aid/ CPR certification.
Eligibility to work permanently in Australia
Physical & Equipment Requirements:
Ability to safely operate or oversee the use of specialized event equipment, including forklifts
Ability to move, position, transport, and install materials and equipment in accordance with applicable safe handling procedures.
Perform manual handling tasks, including bending, stooping, twisting, and reaching, associated with eve nt setup, breakdown, and onsite operations.
Ability to stay stationary and/or move around the event site for extended periods of time, including during long event days, outdoor conditions, and uneven surfaces.
Ability to work in a variety of environments, including indoor and outdoor venues, and in varying weather conditions.
Ability to operate or assist with basic event equipment and tools as required for the role.
Extended workdays and travel will be required whilst attending assigned onsite events.
