Position Details

THE ROLE

The Communities and Families Transformation Program (CFTP) is a large-scale service transformation program that will replace legacy case management systems and deliver modern tools to approximately 10,000 users across nine program areas in the Department of Families, Fairness and Housing (DFFH) and the Department of Justice and Community Safety (DJCS). The program will also deliver improved case management and reporting capabilities to Community Sector Organisations (CSOs) and Aboriginally Controlled Community Organisations (ACCOs).



The program will redesign how services are delivered to improve efficiency and outcomes while enhancing compliance and data privacy and security.

The first tranche of work, spanning three years will deliver: replacement of IRIS (the legacy sector case management and reporting system); service design for Child Protection; and complete foundational technology design and build and procurement. Key foundational elements will include capacity to securely store and share information practitioners need to support case planning and service delivery. The program will seek to design reusable technology assets that can be deployed across government.

Future tranches of work will be subject to completion and acceptance by government of subsequent business cases – building on tranche one outcomes to allow progressive completion of the program before legacy systems must be decommissioned.

The Secretariat Officer within the Procurement and Governance team will provide administrative support for the development and dissemination of policies and procedures on Communities and Families Transformation Program governance matters. This includes the formal planning of governance agenda, meeting minutes, records of attendance, and forward planning to ensure consistent authentic partnership across all governance forumns.

The role plays a vital role in maintaining and delivering secretariat services for internal and external governance bodies which enable key decision making and athuorising environments for the Communities and Families Transformation Program. This includes secretariat support for contracted providers and governance of vendors providing fee for service products within the Communities and Families Transformation Program. The role will be required to engage with internal and external stakeholders to share information on these corporate governance policies, procedures, and bodies.

Reporting to the Manager, Procurement and Governance,



the Secreteriat Officer will also be required at times to provide project support for the delivery of procurement and governance functions which maintain governance arrangements, support executive and program governance forums, and work with the Senior Finance Officer to ensure contracted providers are engaged with all governance requirements.

ACCOUNTABILITIES INCLUDE

- Keep up-to-date on the content of the department's corporate governance policies and procedures and on the schedule and activities of the department's corporate governance committees.
- Assist staff, managers, and executives to understand the broad purposes and outcomes of the The Communities and Families Transformation Program's corporate governance policies, procedures, and committees.
- Write accurate, well-formatted, and highly readable, meeting invitations, agendas, and minutes.
