We are seeking a reliable, organised and proactive Administrative Assistant to join our team and provide essential administrative and office support across our construction operations.

About the Role
n
This is a varied role suited to someone who enjoys staying organised, working in a fast-paced environment and taking ownership of their responsibilities, while also seeking the flexibility of adaptable working hours.

You will work closely with our management, project and accounts teams to ensure the smooth day-to-day running of the business.
n
Key responsibilities will include:
n

- Providing general administrative and office support
n
- Answering calls and responding to emails
n
- Managing incoming and outgoing correspondence
n
- Maintaining electronic and physical filing systems
n
- Assisting with preparation of quotes, tenders, contracts and project documentation
n
- Supporting project managers with administrative tasks
n
- Preparing purchase orders, quotes, invoices and other documentation
n
- Liaising with clients, subcontractors, suppliers and consultants
n
- Updating project registers, spreadsheets and databases
n
- Scheduling meetings, appointments and site-related activities
n
- Assisting with onboarding subcontractors and maintaining compliance documentation
n
- Following up outstanding documentation, timesheets and paperwork
n
- Assisting the accounts team with basic administrative and data-entry tasks
n
- Maintaining office supplies and general office organisation
n
- Assisting with ad hoc tasks and projects as required
n

About You
n
We are looking for someone who is professional, organised and confident, with excellent attention to detail and the ability to manage competing priorities.

The successful candidate will ideally have:
n

- Previous experience in an administration or office support role
n
- Experience within the construction, building, property or related industry is highly desirable
n
- Excellent written and verbal communication skills
n
- Strong attention to detail and organisational skills
n
- The ability to prioritise and meet deadlines
n
- A professional and friendly manner
n
- Confidence using spreadsheets and online systems
n
- The ability to work independentlily as well as part of a team
n
- A proactive attitude and willingness to learn
n
- The ability to maintain confidentiality and handle sensitive information professionally
n
- Experience with Xero, construction management software or accounting systems will be highly regarded but is not essential.
