MindFlare Psychology is a growing, family-owned psychology practice supporting children, families and individuals. We're looking for a friendly, reliable and organised Medical Receptionist to join our team.

This is more than just a reception role. As the first point of contact for our clients, you'll play an important part in creating a warm, welcoming and skilled experience from the moment someone contacts MindFlare.

You'll be part of a supportive team where your contribution matters, the days are varied, and no two days are quite the same.

About the Role
n
Your day-to-day responsibilities will include:
n
n
- Welcoming clients and families with warmth and professionalism
n
- Managing incoming and outgoing phone calls
n
- Responding to emails and client enquiries
n
- Scheduling appointments and managing clinician diaries
n
- Following up tentative bookings and supporting clients through the booking process
n
- Maintaining accurate client records in our practice management system (Halaxy)
n
- Assisting with invoicing and following up outstanding accounts when required
n
- Opening and closing the practice
n
- General administration, data entry, scanning and document management
n
n
About You
n
We're looking for someone who is:

- Friendly, warm and professional
n
- Confident and comfortable speaking with clients on the phone
n
- Highly organised with excellent attention to detail
n
- Able to multitask and prioritise in a busy environment
n
- Reliable, proactive and able to use initiative
n
- A strong communicator who genuinely enjoys helping people
n
- Comfortable working independently while also being a supportive team member
n
n
Experience & Skills
n
n
- Previous reception and/or administration experience (essential)
n
- Previous medical reception experience (highly desirable)
n
- Experience working within a healthcare or allied health setting (desirable)
n
- Knowledge of Medicare and/or NDIS (highly desirable)
n
- Experience using Halaxy or similar practice management software (highly desirable)
n

Employment Details

Employment Type: Full-Time, 38 hours per week
n Days: Monday–Friday, with occasional Saturday shifts may be offered with advance notice
n Location: Glenmore Park
n Salary: Competitive salary based on experience
