Job Description

We're looking for an Administrative Support Officer to join our Service Delivery team in Ipswich and provide the organisation, connection and day-to-day support that helps our people and services thrive.

This role is about creating the strong foundations that enable great service delivery. You'll be a key point of connection for our team, the people who access our services and the stakeholders we work alongside – helping ensure the everyday operations of the service are responsive, organised and welcoming.
n
Working 22.8 hours per week, you'll be a valued part of the service, providing responsive administrative support across the everyday rhythm of the team.

What you'll be doing:
n
You'll provide responsive, practical administration support across our Ipswich service, including:
n
n
- Being a welcomingfirst point of contact and responding to phone, email and face‐to‐face enquiries
n
- Providing day‐to‐day administrative support to the Service Delivery team and responding to internal and external stakeholders
n
- Maintaining accurate records, databases and information systems
n
- Preparing correspondence, documents and other administrative materials
n
- Coordinating meetings, including room bookings, agendas, minutes and follow‐up actions
n
- Supporting local events and functions, including invitations, catering and other arrangements
n
- Coordinating vehicles, equipment and shared resources
n
- Supporting purchasing and accounts processes, including purchase orders and invoice reconciliation
n
- Keeping the office running smoothly through mail, stationery, filing, archiving and general administration
n
- Contributing to improvements in administrative systems and processes.

About You!
n
You're an organised and proactive administrator who takes pride in doing things well. You're approachable, solutions‐focused and comfortable being the person others can rely on to keep things moving. You'll bring:
n
n
- Demonstrated administration experience, ideally supported by a Certificate III in Administration or equivalent
n
- Strong computer skills, including confidence across Microsoft Office applications
n
- Excellent organisation and time management skills, with the ability to prioritise competing demands and meet deadlines
n
- Strong attention to detail and a commitment to maintaining accurate information and confidentiality
n
- Well‐developed written and verbal communication skills and the ability to build positive relationships with a range of stakeholders
n
- Initiative and practical problem‐solving skills, with the confidence to work autonomously when needed
n
- A collaborative approach and willingness to contribute to continuous improvement
n
