18-Month Contract | Adelaide, CBD location

An exciting opportunity is available for an experienced Project Administrator to join a Development Project team within a well-established organisation in the energy and infrastructure sector.
n
This is a great opportunity for someone who enjoys working in a project environment, coordinating multiple priorities and being the person who keeps the team organised and projects moving forward.
n
About the Role
n
Working closely with the Development Project team, you will provide comprehensive administrative and coordination support across a range of project activities.
n
You will play an important role in maintaining project documentation, coordinating meetings and workshops, tracking project milestones and actions, preparing reports and ensuring project systems and records are maintained accurately.
n
This is a busy and varied role that will suit someone who is highly organised, proactive and confident working with a range of internal and external stakeholders.
n
Key Responsibilities
n
Project Administration
n
n
- Maintain accurate project documentation, records and filing systems
n
- Coordinate and distribute meeting agendas, minutes and action items
n
- Track project milestones, deadlines and deliverables
n
- Update project schedules and status reports
n
- Maintain document version control and ensure project standards are followed
n
n
Coordination & Stakeholder Support
n
n
- Coordinate meetings, workshops and project events
n
- Liaise with project team members, stakeholders, suppliers and other external parties
n
- Distribute project communications and updates
n
- Follow up outstanding actions, decisions and deliverables
n
- Support Project Managers with day-to-day project administration
n
n
Reporting & Project Tracking
n
n
- Maintain project registers, including risks, issues, actions and decisions
n
- Collect and consolidate project progress information
n
- Prepare regular project reports, dashboards and presentations
n
- Monitor and report on project administration activities
n
- Assist with project planning, scheduling and resource coordination
n
n
Procurement & Administration
n
n
- Support the procurement of goods and services in line with project requirements
n
- Raise purchase requisitions and purchase orders
n
- Maintain supplier and contractor records
n
- Process invoices and expense claims
n
- Liaise with suppliers regarding orders and delivery schedules
n
- Assist with project expenditure tracking
n
n
Systems & Governance
n
n
- Maintain project management systems, tools and databases
n
- Ensure project records are accurate and up to date
n
- Support audits, reviews and compliance activities
n
- Assist with onboarding and off boarding project team members
n
- Support document control and governance requirements
n
n
About You
n
We're looking for someone with previous experience providing project administration within a project, program or business environment.
n
You Will Ideally Have
n
n
- Experience working within a project, program, infrastructure, engineering, construction, energy or similar environment
n
- Solid organisational and time management skills
n
- Experience coordinating meetings, workshops and stakeholder communications
n
- Demonstrated experience maintaining project documentation and records
n
- Experience tracking project actions, milestones and deliverables
n
- Strong written and verbal communication skills
n
- Excellent attention to detail and the ability to manage competing priorities
n
- Confidence working with a range of internal and external stakeholders
n
- A proactive and solutions-focused approach
n
- Strong Microsoft Office skills, particularly Excel, Word, PowerPoint, Outlook, Teams and SharePoint
n
- The ability to quickly learn and navigate project management and business systems
n
