A well-established and growing organisation within the environmental services and waste management sector is seeking a capable and detail-oriented Admin & Finance Officer to support the smooth running of the office and financial administration functions.

Reporting to the Administration & Finance Manager, this role is integral to ensuring accurate invoicing, effective financial processing and high levels of customer service across the business. The successful candidate will play a key role in supporting both operational and financial administration activities while maintaining strong internal and external stakeholder relationships.

Key Responsibilities

Accounts Receivable & Invoicing
n
n
- Prepare and process accurate client invoices
n
- Import financial data from Wastedge to Xero following approval
n
- Process customer payments and manage debtor enquiries
n
- Follow up outstanding invoices and maintain debtor records
n
- Upload invoices and documentation to customer portals for payment
n
- Maintain records including job numbers, reduction schedules and trade waste logs
n
n
Accounts Payable
n
n
- Process trade creditor invoices and prepare supplier payments
n
- Reconcile creditor accounts at month end
n
- Liaise with suppliers regarding costing and invoice queries
n
n
Payroll Support
n
n
- Assist with weekly payroll preparation
n
- Maintain employee records including staff updates and emergency contact details
n
n
Administration & Office Support
n
n
- Provide administrative assistance to management as required
n
- Maintain filing systems and internal records
n
- Manage office supplies and general office maintenance
n
- Attend to incoming calls and visitors
n
- Support OHS activities and participate in internal meetings
n
n
About You
n
n
- Previous experience in an accounts administration or office support role
n
- Strong attention to detail and excellent organisational skills
n
- Ability to manage multiple tasks and meet deadlines
n
- Excellent communication skills with both internal teams and customers
n
- Strong numeracy and literacy skills
n
- Ability to work autonomously and take initiative
n
- Experience within the transport, logistics or waste management industry
n
- Experience using Xero, Wastedge, Tanda or similar systems
n
- Understanding of accounting processes including GL coding and bank reconciliations
n
