This is a hands-on leadership position in a busy dermatology practice. You will lead and support the reception team while remaining actively involved in the day-to-day operation of the front desk. Working closely with dermatologists, clinical team and practice management, you will help ensure the practice runs smoothly and patients receive a consistently high standard of service.

Key responsibilities
n

- Lead, support and mentor the reception team, providing guidance and day-to-day direction.
n
- Coordinate daily reception operations and ensure adequate coverage and workflow.
n
- Deliver a welcoming, professional and patient-focused experience from arrival through to departure.
n
- Manage patient appointments, bookings, cancellations, recalls and waitlists efficiently.
n
- Coordinate doctor and treatment schedules and assist with managing appointment flow.
n
- Handle patient enquiries by phone, email and in person in a professional and timely manner.
n
- Support the team with Medicare/DVA payments, invoicing and other administrative processes.
n
- Ensure reception procedures and practice policies are consistently followed.
n
- Assist with training and onboarding new reception team members.
n
- Monitor the quality and efficiency of reception processes and identify opportunities for improvement.
n
- Manage difficult or sensitive patient interactions professionally and elevate issues when appropriate.
n
- Maintain patient confidentiality and ensure privacy and professional standards are upheld.
n
- Liaise effectively with doctors, nurses, practice management and other team members.
n
- Assist with other ad-hoc administrative tasks as required.
n
- Contribute to a positive, collaborative and skilled workplace culture.

About you

- Has previous experience in a medical, specialist or private healthcare reception environment.
n
- Has demonstrated experience leading, supervising or mentoring a team.
n
- Is confident managing a busy reception environment and competing priorities.
n
- Has excellent communication and interpersonal skills.
n
- Is highly organised, reliable and detail-oriented.
n
- Works well collaboratively, is capable of working independently and taking initiative.
n
- Has a genuine commitment to patient care and service excellence.
n
- Is confident handling sensitive or challenging conversations.
n
- Can work calmly and professionally under pressure.
n
- Has strong computer and administrative skills and is comfortable learning practice management systems.
n
- Understands the importance of privacy, confidentiality and professional standards.
n
- Previous experience in dermatology, specialist medical or surgical practice.
n
- Experience with Medicare/DVA and private billing.
n
- Experience with Zedmed.
n
