Job Description
NDIS Allied Health Administrative Assistant
n
Roaming Therapy is seeking a friendly, organised and proactive Allied Health Administrative Assistant to support our growing mobile allied health team.
n
This is an NDIS-focused administrative role and will suit someone who enjoys working with clients, participants, families, support coordinators and healthcare professionals while keeping a busy allied health service organised behind the scenes.
n
As an important first point of contact for our Company, you will play a key role in creating a positive experience for our clients from their initial enquiry through to ongoing service delivery.
n
You will also work closely with our clinicians and management team to coordinate appointments, manage referrals, maintain accurate client records and assist with the day-to-day administration required to keep our services running smoothly.
n
Key Responsibilities
n
n
- Respond to new and existing client enquiries via phone, email and online referrals
n
- Assist with the intake and onboarding of new NDIS participants
n
- Communicate professionally with participants, families, carers, support coordinators and plan managers
n
- Coordinate clinician calendars and schedule client appointments
n
- Match new referrals with appropriate clinicians based on location, availability and service requirements
n
- Follow up referrals and assist prospective clients through the onboarding process
n
- Create and maintain accurate client records within our practice management system
n
- Collect relevant NDIS, funding and referral information
n
- Assist with service agreements and other client documentation
n
- Support clinicians with scheduling, cancellations, rescheduling and general administrative requirements
n
- Monitor emails, incoming calls and administrative requests
n
- Maintain accurate records and ensure client information is kept up to date
n
- Assist management with general operational and administrative tasks
n
- Provide a high standard of customer service across every client interaction
n
n
About You
n
We are looking for someone who is:

- Highly organised with excellent attention to detail
n
- Friendly, professional and confident communicating over the phone
n
- Comfortable managing a high volume of calls, emails and administrative tasks
n
- Able to prioritise competing tasks in a fast-paced environment
n
- Confident using practice management systems and other online software
n
- Reliable, proactive and able to work independently
n
- A strong written and verbal communicator
n
- Compassionate and comfortable communicating with people with disability, families and carers
n
- Focused on providing an excellent client experience
n
n
Highly Regarded
n
Previous experience in one or more of the following will be highly regarded:
n
n
- NDIS administration
n
- Allied health administration
n
- Medical or healthcare reception/administration
n
- NDIS participant intake and onboarding
n
- Working with support coordinators and plan managers
n
- Allied health appointment scheduling
n
- Practice management software
n
- Physiotherapy, Occupational Therapy, Speech Pathology or Exercise Physiology administration
n
