About the Role
n
This is a new position in a growing program. The Philanthropy Officer will support the growth and development of the Australia Institute's philanthropy and major donor program.
n
Reporting to the Fundraising Manager and working closely with the co-CEO's and other senior staff, the role will focus on:
n
n
- donor research and prospect identification;
n
- donor stewardship and relationship management;
n
- moves management and cultivation planning and execution;
n
- philanthropy reporting, administration and support.
n
n
Key Responsibilities
n
Philanthropy and Donor Management
n
n
- Directly contact, engage and build relationships with major donors, philanthropic trusts and foundations;
n
- Coordinate donor meetings, briefings, follow-up communications and stewardship activity;
n
- Support cultivation and stewardship of major donors and philanthropic partners;
n
- Assist with preparation of donor proposals, funding applications,
briefings and engagement materials;
n
- Work with senior staff, researchers, leadership and board members to coordinate donor engagement opportunities;
n
- Represent the Australia Institute professionally and confidently in donor, philanthropy and stakeholder interactions;
n
- Develop donor cultivation, stewardship and engagement plans;
n
- Maintain regular and proactive communication with donors and prospects.
n
n
Prospect Research and Identification
n
n
- Undertake donor, foundation and philanthropy research;
n
- Identify major donor, foundation, mid-level donor and bequest prospects;
n
- Assist with prospect qualification, prioritisation and donor segmentation;
n
- Support wealth, capacity and interest research where appropriate;
n
- Identify opportunities for donor upgrades and long-term relationship development.
n
n
High Donor CRM and Data Processes
n
n
- Support implementation and development of high donor CRM processes and workflows;
n
- Maintain accurate donor records, relationship information and engagement history;
n
- Track donor interactions, communications and stewardship activity within the CRM;
n
- Support migration of donor and philanthropy records into the new CRM environment;
n
- Help improve data quality, relationship mapping and philanthropy reporting systems.
n
n
Moves Management and Stewardship:
n
n
- Coordinate donor meetings, relationship management activity and stewardship actions;
n
- Develop and monitor donor cultivation and engagement pathways;
n
- Track donor movement through cultivation and stewardship stages;
n
- Assist with relationship manager allocation and monitoring across leadership and senior staff;
n
- Support development of structured stewardship systems, donor journeys and follow-up schedules;
n
- Ensure donor engagement actions are completed consistently and professionally.
n
n
Supporter Research and Survey Work
n
n
- Assist with implementation of supporter research and survey projects;
n
- Support donor segmentation and supporter analysis;
n
- Help identify philanthropy, major donor and bequest opportunities within the supporter base;
n
- Assist with integrating supporter research insights into donor engagement and fundraising strategy.
n
n
Skills and Experience
n
n
- Strong organisational and project management skills;
n
- Experience working with CRMs or donor databases;
n
- Robust written and interpersonal communication skills;
n
- Ability to manage confidential information;
n
- High attention to detail;
n
- Experience with major donor or philanthropy programs;
n
- Experience with moves management systems;
n
- Donor research or wealth screening experience;
n
- Familiarity with CRM systems such as Salesforce, Virtuous or HubSpot;
n
- Interest in public policy, advocacy or social change.
n
n
