About the Role
n
This is a hands-on leadership role that involves both front desk oversight, and off-desk management responsibilities to ensure smooth practice operations across a large and varied specialist team. You will be responsible for:
n
n
- Leading, mentoring, and managing a team of reception and administrative staff supporting a diverse panel of specialists, allied health professionals, psychologists, and psychiatrists.
n
- Providing hands-on support at the front desk as needed to assist with patient inquiries, bookings, and daily operations.
n
- Managing rosters, staff training, and performance reviews.
n
- Overseeing daily reception workflows across multiple specialist calendars to ensure a seamless patient experience.
n
- Liaising closely with specialists across different disciplines, understanding their varied practice preferences and requirements, to ensure smooth day-to-day coordination.

Clinic Management
n
n
- Overseeing practice accreditation and ensuring compliance with industry standards.
n
- Managing Medicare, MBS item numbers, and billing across a range of specialty types (including medical specialist, allied health, psychology, and psychiatry billing) to ensure accurate invoicing and compliance.
n
- Coordinating with specialists, allied health professionals, nurses,
and administrative staff across the clinic to optimise workflows.
n
- Managing policies and procedures to ensure the practice meets all legal, regulatory, and accreditation requirements.
n
- Identifying and implementing process improvements to enhance efficiency and patient care across a large, multidisciplinary specialist group.
n
- Handling HR functions, including recruitment and onboarding of new staff.
n
- Working collaboratively with the broader Holdsworth House Medical Group to align with group-wide policies, systems, and standards.
n

What We're Looking For
n
n
- Proven experience in specialist medical reception, practice management, or leadership, ideally within a multidisciplinary clinic environment.
n
- Essential: experience working with and supporting a variety of specialists, including medical specialists, allied health professionals, psychologists, and psychiatrists.
n
- Advanced proficiency in Best Practice medical software (essential).
n
- Deep knowledge of Medicare, MBS item numbers, and billing practices across different specialty types (essential).
n
- Robust leadership skills with the ability to motivate and manage a diverse team.
n
- Excellent communication and interpersonal skills, with the ability to work effectively with practitioners from a range of disciplines and varied needs.
n
- A proactive and solutions-focused approach to problem‐solving.
n
- Strong organisational and multitasking abilities, with the ability to manage competing priorities across a busy multidisciplinary environment.
