Office Manager | Eagle Farm | Run the Office of a Growing Trade Business

Salary field: $75,000 – $90,000 + super

Run the office. On your own, but never alone.

We're looking for someone to take full ownership of our Brisbane office — the person who knows where every job is up to, keeps 8 tradesmen running to schedule, and makes sure nothing falls between a customer's first phone call and their final invoice.

You'll be the only person in the Eagle Farm office day to day. That means real autonomy: you set the rhythm, you decide how things get done, and you fix what isn't working. It also means we've made sure you're properly backed. You'll report to our project manager, the owners are on hand whenever you need them, and a second member of our office team supports you remotely and provides cover.

If you're the kind of person who thrives when you're trusted with the whole thing, this will suit you. If you need someone looking over your shoulder, it won't.

About OzGrind

OzGrind is one of Brisbane's leading concrete polishing, grinding, honing and epoxy flooring specialists. We're based in Eagle Farm, with a boutique showroom where customers come to see finishes in person. Established since 2011 with commercial contracts keeping us strong even when markets are slow.

We work with builders, commercial clients and homeowners across South East Queensland. We're small enough that your work is visible and your judgement matters, and established enough to offer real stability.

What you'll own

The customer experience, end to end. You're the first person builders, homeowners and suppliers deal with — by phone and email. You'll answer their questions with real product knowledge (we'll teach you), guide them through the process, and stay across their job from enquiry to invoice.

Job flow and coordination. Bookings, schedules, and keeping 8 tradesmen on the same page. When a job shifts, you're the one who knows what that means for everything downstream.

Quoting support. Measuring off plans and entering data into our quoting software. If you can read a set of drawings you'll pick this up quick; if you can't,



we'll train you.

The office itself. Suppliers, visitors, showroom bookings, and the day-to-day systems that keep the place moving. You'll spot the things that are done inefficiently, and you'll have the authority to change them.

Your first year

Months 0-1: Learn the products, the software (ServiceM8), and how jobs actually move through the business. Take over the front line, with the project manager and our office support close at hand.

Months 1–3: Run the office independently. With full support from others remotely.

Beyond: As the business grows, so does this role. The person in this seat becomes the one who knows how OzGrind actually runs, and that's a position we invest in.

We'll be straight with you about what this job is: it's the whole office, held by one capable person, with a company behind them that answers the phone when they call.

What we're looking for

Around 5 years in administration, ideally with a trade or construction business. You already know what a job sheet is, why a late tradesman matters, and how tradies actually communicate. If your experience is from another industry but you've run a busy office end to end, we'll still read your application.

Reliable. You turn up, you follow through, and when you say something's handled, it's handled. This role only works if the people around you can stop checking.

Honest. You'll tell us when something's gone wrong before we find out ourselves. We'd take that over a spotless record every day of the week.

Drive. You look for the next thing rather than waiting to be handed it. You notice the process that's costing everyone an hour a week, and you fix it.

Organised by nature. You keep a list, you work the list,



and nothing quietly falls off the bottom of it. Loose ends bother you.

Warm and easy to deal with. Builders, homeowners and suppliers all come through you. You're friendly, you're good on the phone, and people are glad they called.

You'll also need:

Genuinely good written English — spelling, grammar, the lot. You'll be writing to clients daily.

Confidence working solo: self-directed, good at prioritising, and comfortable making decisions without a supervisor in the room.

A memory for detail — you'll recall the builder who called Tuesday about the Northgate job, and what he needed.

Word, Excel and Outlook, and the ability to pick up new systems quickly (we use ServiceM8).

A forklift licence is a bonus, not a requirement.

What we offer

Salary of $75,000 – $90,000 + super

4pm finish every Friday (Mon–Thu 9–5, Fri 9–4)
