About the Role

We're looking for a proactive and organised Practice Assistant to support our specialist Superannuation team. You'll provide administrative, workflow and client service support, helping to keep engagements on track and ensuring a seamless experience for clients and the team alike.

This is a varied role suited to someone who enjoys working in a fast-paced environment, building relationships and taking pride in delivering accurate, dependable support.

About the team

Our Superannuation team delivers specialist SMSF services to a broad client base. You'll join a collaborative team that values accuracy, teamwork and exceptional client service.

Key responsibilities

- Provide administrative support to the Superannuation team and act as an administrative contact for SMSF clients
- Assist with client onboarding, engagement documentation and client acceptance processes
- Prepare standard correspondence and coordinate electronic signing
- Maintain accurate client, trustee, member and contact information across relevant systems
- Assist with the administration of new SMSFs and changes to existing fund structures
- Coordinate the execution and storage of trust deeds and permanent documents
- Assist with trustee and member change documentation,



resolutions and forms using approved templates
- Complete ATO and ASIC searches, correspondence and administrative updates
- Support the collation and distribution of annual compliance documents and audit completion items
- Assist with opening, maintaining and closing client jobs
- Support billing, work-in-progress administration and invoice processing
- Maintain document management systems, templates, registers and standard operating procedures
- Coordinate meetings, training, travel and team events as required

About you

- Previous experience in a Practice/Team Assistant, Personal Assistant, Client Services or administration role
- Experience within accounting or professional services will be highly regarded
- Strong organisational skills with the ability to manage competing priorities
- Excellent attention to detail and commitment to accurate record keeping
- Professional written and verbal communication skills
- Robust judgement and discretion when handling confidential information
- A proactive, adaptable and collaborative approach
- Strong proficiency in Microsoft Outlook, Word, Excel and PowerPoint
- Experience using practice management, document management, workflow, ATO or ASIC systems will be advantageous
