The New College Communities at the University of New South Wales are seeking applications for a full-time Receptionist as the first point of contact of a university student residential college with its friendly community experience and excellent accommodation for the students and visitors who reside in the college.

New College and New College Postgraduate Village, UNSW are university residential colleges, affiliated with the Anglican Diocese offering accommodation, academic support and pastoral care to 562 university students.

Role Description
Our college receptionists fulfil a key central role within our college communities. They are the first point of contact for all general phone, email and in-person enquiries, concerning the mission, operations and residential communities of both colleges.
They carry a warm and friendly personality who enjoys interacting with university students from many different cultural backgrounds and countries, willing to understand their needs and concerns and raise any of pastoral matters with the Dean of Residents of each college, as appropriate.
And within the college communities, they are expected to have strong communication and organisational skills to liaise with staff.
Duties and Responsibilities
- Provide friendly and skilled reception and customer service to students, visitors, contractors and the general public.
- Manage front desk, telephone and email enquiries, building access, access cards and monitor reception CCTV.
- Provide administrative and operational support to the Dean of Residents, including diary management, student records, documentation and reporting.
- Assist with the arrival, orientation and accommodation administration of new students, including preparing Welcome Packs and setting up student services.
- Maintain accurate student, accommodation, key, access card and room inventory records.
- Escalate concerns about student welfare and incidents to the Dean of Residents.
- Process daily financial transactions, banking and related administrative records.
- Manage incoming and outgoing mail, student parcels, office supplies and general administration.
- Provide administrative support for College events, formal dinners, tours and other community activities.
- Liaise with staff, students, schools, contractors and suppliers, and undertake other duties as required to support the College.
- Actively collaborate with the receptionist at the other college.
As well, the successful application will need to understand that:
- The job title does not define,
or limit duties and the receptionist may be required from time to time to carry out other work consistent with the role at the supervisor's request.
- The college also reserves the right to introduce changes in line with technological developments which may impact upon job duties or methods of working.
Reporting Relationships
The Receptionist is to respectfully and timely follow through all requests with their supervisor, the Dean of Residents.
Selection Criteria
Essential
- Experience working in an office environment or in a workplace with a strong customer focus
- Good verbal and written communication skills with an ability to communicate at different levels of the organisation
- Experience working with Microsoft Office applications and an aptitude for learning new computer applications
- Experience handling cash and processing financial transactions
- Able to prioritise, organise and execute a multiplicity of tasks
- Able to demonstrate initiative
- Current driver’s licence
- Support and respect for the vision and mission of the New College Communities
Desirable
- An understanding of bookkeeping
- Experience with data entry and wide-ranging databases
