House of Harlow Beauty Therapy is looking for someone special to join our team of 7 as our Client Experience & Clinic Coordinator.

This is more than a front-desk role. You’ll be at the heart of the clinic – welcoming clients, keeping the day flowing, supporting our therapists and helping create an exceptional experience from the moment clients walk through the door.

The Role

You’ll help ensure every client feels welcomed, valued and cared for. Your responsibilities will include:

- Welcoming clients and creating a warm, elevated experience.
- Managing calls, enquiries, appointments, payments and rebooking.
- Following up new enquiries and returning clients.
- Managing cancellations, waitlists and diary gaps.
- Helping keep therapist books productive.
- Supporting treatment plans, memberships, retail and client journeys.
- Guiding clients on treatments and products suited to their needs.
- Keeping the clinic organised, stocked and beautifully presented.
- Supporting therapists with client and diary updates.
- Maintaining accurate records, systems and processes.
- Updating SOPs and helping improve the way we work.
- Supporting social media, DMs, content, testimonials and promotions.




- General administration and support for the clinic owner.

Who We’re Looking For

We’re not looking for someone who simply sits behind a reception desk. We want someone who takes ownership, notices what needs to be done, follows through and genuinely enjoys people.

You’ll be confident, warm and professional, with the ability to balance exceptional client service, administration, diary management and team support.

You don’t need to be a hard salesperson. We’re looking for someone who can have genuine conversations with clients and confidently guide them towards appropriate treatments, products and ongoing care.

Your Experience

Experience in administration, reception, front of house, coordination or management is highly regarded, particularly within:

- Beauty, Skin, Wellness or Health
- Hospitality
- Retail

You’ll also need to be comfortable with technology, booking systems, social media and the everyday problem-solving that comes with a busy clinic.
