About the Role
n
KBA Global Pty Ltd is seeking a suitably qualified and experienced Office Manager to work from Rockdale & Sydney CBD branch, organise, coordinate and oversee the administrative and operational functions of our offices across Australia and overseas.
n
The successful candidate will be responsible for managing office operations, coordinating staff and resources, maintaining administrative systems and records, and ensuring the efficient day-to-day operation of the business.
n
The role requires a highly organised and proactive individual with demonstrated office management, staff supervision and administrative experience.
n
Key Responsibilities
n
The Office Manager will be responsible for:
n
n
Contributing to the planning and review of office services and establishing priorities and office service standards;
n
Allocating human resources, office space, equipment and other resources to ensure efficient business operations;
n
Assigning work to administrative and support staff and monitoring their work performance;
n
Coordinating and supervising the day-to-day activities of office staff;
n
Managing office records, accounts, administrative documentation and filing systems;
n
Liaising with management, professionals and other relevant stakeholders to coordinate office business and facilitate the resolution of operational issues;
n
Ensuring office equipment, facilities and supplies are appropriately maintained and available;
n
Monitoring office supplies and coordinating the purchase and replenishment of equipment and supplies as required;
n
Ensuring compliance with Work Health and Safety requirements and maintaining appropriate workplace procedures;
n
Ensuring office operations and administrative activities comply with relevant government legislation, organisational policies and procedures;
n
Coordinating personnel activities including recruitment, induction, training, staff supervision,
performance management, promotions and payroll administration;
n
Assisting with staff scheduling, leave coordination and workforce planning;
n
Developing, implementing and reviewing administrative systems, procedures and workflows to improve office efficiency;
n
Coordinating workflow and communication between staff and the company's Australia and overseas branches.

Maintaining accurate and confidential business, employee and client records; and
n
Providing operational and administrative support to management as required.

Qualifications, Skills and Experience
n
Applicants should possess:
n
n
At least 1 year work experience in office management, administration or a comparable supervisory administrative role;
n
An AQF Associate Degree, Advanced Diploma or Diploma in Business Administration, Business Management, Management or a related discipline preferred
n
Demonstrated experience supervising staff, allocating duties and monitoring work performance;
n
Experience coordinating office operations, administrative systems, records and documentation;
n
Experience assisting with recruitment, staff training, performance management and payroll administration;
n
Strong organisational and time-management skills;
n
Strong written and verbal communication skills;
n
Ability to liaise effectively with management, staff, clients and external professionals;
n
Sound understanding of workplace policies, procedures and Work Health and Safety requirements;
n
Strong attention to detail and ability to maintain confidential records;
n
Good problem-solving and decision-making skills; and
n
Competency in Microsoft Office and general office administration systems.
n
n
Experience within a professional service, education, migration, legal or consulting setting will be highly regarded but is not essential.
n
