Overview
Office Services Clerk– We have a fantastic opportunity for an experienced Office Services Clerk to join our Office Services team in Melbourne.
Primary Duties and Responsibilities
Assist with the opening, sorting, scanning and delivering of incoming external mail
Conduct internal mail runs, collect and deliver internal mail
Search for and identify the recipients of unknown mail items
Photocopy/Print, and bind legal documents and other material to specific requirements and deadlines, as stipulated by internal stakeholders
Scan and upload physical documents into electronic format
Troubleshoot copier and printer fault notifications, and organise service calls with relevant suppliers if required
Collect and deliver items internally and externally as required
Organise couriers and deliveries to internal and external contacts throughout Australia
Attend to Office Services email inbox queries in a prompt, timely and professional manner
Assist with staff onboarding including desk set up, access cards, induction and training
Assist with the induction and training of new Office Services team members
Provide and maintain a high level of customer service at all times to internal and external stakeholders
Ensure the mail and prints rooms are organised, tidy and well stocked at all times including ordering and maintaining stationery levels
Adhere to OH&S; policy and assist with maintaining a safe premises
Assist with archiving and retrieval of firm documents to and from offsite storage facilities
Manage and maintain archiving records and requests in accordance with the firm's policy and procedures
Maintain safe custody and VOI storage handling following the firms policies and procedures
Adhere to firm document management processes
Manage and maintain assigned building maintenance requests
Organise premises equipment maintenance in line with Team Leader - Office Services requirements




Assist Client Services team with room set up, restocking kitchens, and other duties when required
Attend and contribute in team meetings
Any other duties as requested
Skills/Knowledge
Strong ability to manage time effectively
Flexibility and adaptability to changing priorities and work demands
IT literacy
Excellent interpersonal and communication skills
Strong reasoning skills
Experience
Successful completion of VCE (minimum requirement)
Demonstrated administration and hospitality experience
