The Role

This position is perfect for a process-driven problem solver so staff and volunteers can make a bigger impact. This 18-month fixed-term contract role reports to our Senior Manager Operations Support and serves as the primary systems contact for Orange Sky's volunteer management platform (Rosterfy) and key integrated tools. Focusing on system administration, user experience and support, and continuous process improvement, you will help design streamlined workflows and ensure a seamless, high-quality experience for volunteers across every stage of their lifecycle.

What you’ll be doing (in a nutshell)

- System Administration & Technical Support: Serving as the first point of contact for MyOS (Rosterfy) support tickets, troubleshooting user issues, managing permissions, and escalating technical issues to external vendors.
- Optimizing Volunteer Lifecycles: Mapping, building, and refining automated volunteer journeys (onboarding, engagement, retention, and offboarding) to deliver exceptional volunteer experiences and create "wow" moments.
- Maintaining Data Integrity & Analytics: Conducting routine system audits to maintain data quality and privacy compliance while collaborating with the Data & Insights team to uplift volunteer reporting.
- Driving Continuous Improvement: Identifying system inefficiencies, testing new platform functionality,



and coordinating functionality upgrades and feature releases aligned with operational strategy.
- Crafting Workflows & Training: Documenting system workflows, configuration standards, and user guides in collaboration with the Learning & Development Specialist to drive platform adoption.
- Collaborating with Partners: Building close working relationships with internal teams, volunteer leaders, and external IT and software partners to resolve issues and deliver project rollouts.

What you bring to the table

- The experience: 3+ years of experience in systems administration, customer experience, operations support, or volunteer engagement. Prior experience in a rapid-paced environment supporting a large volunteer base within the non-profit sector is very beneficial.
- Technical & platform skills: Strong ability to navigate, configure, and administer CRM and workforce/volunteer management platforms (e.g., Salesforce, Rosterfy) along with practical experience in workflow and automation tools.
- Communication & support mentality: Exceptional ability to translate complex technical concepts into clear, accessible language for non-technical users and volunteers.
- Analytical & process skills: Meticulous attention to detail regarding data integrity and system configurations, paired with strong project management skills to handle competing priorities (experience with tools like Asana is a plus).
- Collaborative approach: Proven track record of building positive relationships across internal subject matter experts, volunteer leaders, and third-party IT service providers.
- The mindset: A creative and analytical problem solver who proactively identifies process gaps, designs user-friendly solutions, and brings a genuine passion for Orange Sky's mission.
