Medical Secretary / Practice Administrator

Brighton, VIC | 4–5 days per week

About the Role

We are a growing, family run, boutique psychology and psychiatry practice seeking a reliable and organised Medical Secretary / Practice Administrator. We pride ourselves in making a difference in patients’ mental health journey’s here at Kin Clinic. We are seeking a kind, motivated and ambitious individual who can continue to grow and progress with our growing practice while supporting the day-to-day operations of our clinic.

Working closely with psychiatrists, psychologists, and the practice manager, you will play a key role in ensuring a smooth, professional, and welcoming experience for patients. You will be gaining valuable experience in mental health care, while genuinely helping people day to day.

Clinic Founders Dr Iona and Dr Tom, and Practice manager Darragh are driven to provide the best care for our patients and a supportive workplace environment for our team.

Key Responsibilities

- Manage appointments, cancellations, and clinician schedules
- Front desk reception duties, including welcoming patients
- Coordinate and maintain patient waitlists
- Prepare and manage electronic medical records
- Support patients to complete intake forms, support report writing, and proofread clinical reports
- Answer phone calls and manage email enquiries professionally
- Provide administrative support to clinicians
- Maintain accurate records and strict confidentiality
- Opening & closing the clinic
- Other tasks supporting the clinic operation where required





About You

Required

- Previous medical administration or reception experience
- Looking for a long term career in medical reception with a view to grow into more senior roles
- Highly organised with strong attention to detail
- Professional, friendly, and confident communicator
- Confident in answering calls and enquiries
- Able to manage competing priorities in a busy environment
- Proficient with computer systems and practice software (Excel, Microsoft, practice management systems)
- Reliable, proactive, and a strong team player
- Passionate about helping others
- Full working rights in Australia

Desirable

- Touch type skills desirable
- Experience in managing clients who may present as distressed
- Highly Experienced in Medical Secretary Roles
- Experience in medical or mental health settings

Work Type
