Are you an experienced Roster Coordinator and a natural organiser who thrives on keeping a busy team running like clockwork? As Roster Coordinator, reporting to the Residential Manager, you'll play a vital behind-the-scenes role ensuring residents receive consistent, reliable care by making sure the right people are in the right place at the right time.
This is a genuine chance to bring your rostering expertise to an organisation where every shift you fill directly supports the wellbeing of older Australians and their families. You will be responsible for the rostering of RNs, EEN, PCA’s, Laundry and Kitchen staff. The current system is Humanforce but will be transitioning to UKG in the next 6 months.
No two days are the same — you'll balance operational rostering, payroll support and a touch of reception and admin, all while working closely with clinical and support teams with a very happy workplace culture.
This is a part-time (4 days per week), on-site position based in Melbourne's leafy Boroondara.
About the role::
- Rostering: Prepare and publish fortnightly rosters in line with policy and enterprise agreement requirements, keeping shifts filled and skill mix on point.
- Staffing Coverage: Organise relief and agency staff where needed, and respond promptly to swap requests and roster queries.
- Payroll Support: Ensure timesheets are accurate and submitted on time, and assist the finance and payroll teams with variance and pay queries.
- Leave Management: Support the Residential Manager with leave approvals and manage extended leave periods within the master roster.
- Recruitment Assistance: Help identify vacant shift patterns and support onboarding coordination for new starters.
- Reception & Admin: Provide friendly front-of-house relief, manage bookings and calls, and assist with general administration as needed.
- Compliance & Reporting: Maintain accurate records, generate daily allocation sheets, and keep master rosters up to date.
About You:
- Solid experience in roster management and staff coordination
- Minimum 2 years' experience in rostering ideally in Aged Care or Healthcare
- Sharp attention to detail and comfortable juggling competing deadlines
- Confident with data, systems and advanced computer literacy
- A proactive, can-do approach to problem solving under time pressure
- Excellent communication skills
- Enjoys working and collaborating within a team envirnoment
- Experience in health, aged care or the not-for-profit sector highly regarded
- A Cert III in Business Administration is desirable but not essential
- A current, valid Police Check (or willingness to obtain one) is required
