We are expanding our Melbourne Private Wealth Service team with our new comprehensive wealth administration platform.

The Senior Private Wealth

Administrator is an experienced operator who owns end-to-end client onboarding and the day-to-day administration of investment portfolios. You will be a key point of contact for desk assistants and advisers for routine requests, and you will build a strong foundation across the full lifecycle of a client portfolio — from onboarding through to quarterly and annual reporting.

Responsibilities

- End-to-end onboarding of new Private Wealth Service accounts, including review and processing of application forms and quality control of the new client account establishment with our platform provider and share registries.
- Own complex portfolio cost reconstructions: Investigation and reconstruction of transaction cost histories, including complex multi-source cost base history to ascertain realised and unrealised CGT positions for clients for a broad range of investments.
- Accurately report dividends, distributions, interest and other income with annual tax statements, including unlisted securities.
- Quality-assure onboardings, cost reconstructions and transaction processing completed by junior administrators for client reporting.




- Act as a senior point of contact for advisers, desk assistants, platform provider operations and external custodians; resolve escalated queries.
- Mentor and develop Graduate Private Wealth Administrators, contribute to documented procedures, training material and process improvement initiatives.

Requirements

- 3+ years of experience in portfolio administration, investment operations, custody, fund administration or a similar middle-office role.
- Demonstrated experience administering equities, managed funds, fixed interest, international shares, cash and corporate actions.
- Solid working knowledge of cost-base reconstruction and capital gains tax reporting in an Australian investment context.
- Exposure to corporate actions processing — stapled securities, entitlement offers, share purchase plans, takeovers, DRPs and bonus plans — including liaising with share registries and advisers within deadlines.
- Experience with a comparable investment administration platform is highly regarded.
- A meticulous focus on accuracy, with a track record of owning end-to-end tasks through to completion and meeting reporting deadlines.
- Confident communicator able to liaise directly with advisers and their assistants together with third parties.
- Strong time management, prioritisation skills, and advanced proficiency in Excel, Word and Outlook.
