Position: Program or Project Administrator
Position Type: Full time, Permanent
Salary: $75,000 to $85,000 plus superannuation per annum
Location: North Plympton SA 5037

Our client Elwa Energy is hiring a dedicated Program or Project Administrator to lead core support functions for their key energy initiatives and enterprise operations. Operating from their Plympton office, you will serve as a central coordinator across management, external consultants, vendors, and project managers to streamline workflows, track schedules, and guarantee operational delivery.
Key Duties and Responsibilities:
·Project Coordination & Schedule Management: Coordinate project schedules, track timelines, allocate resources, and monitor deliverables and milestones using internal tracking systems.
·Documentation & Contract Administration: Maintain, monitor, and update detailed project documentation, including contracts, purchase orders, specifications, and proposed work order variations.
·Stakeholder Engagement: Serve as the primary point of contact and facilitate communication between project leaders, site teams, architects, engineers, suppliers, and external stakeholders.
·Reporting & Data Analysis: Collect and analyze operational data, prepare progress reports, meeting minutes, presentations, and compliance submissions for senior management.
·Risk & Issue Management: Track risks, maintain issue logs, address operational inquiries, and escalate concerns for resolution when necessary.
·Procurement & Contractor Oversight: Oversee contractor activities, support procurement tasks (quotations,
tenders, supplier agreements), and track supplier deliverables.
·Compliance & Authority Approvals: Ensure adherence to organizational standards, safety protocols, and regulatory requirements, supporting the submission of documentation for inspections and approvals.
·Operational & Change Support: Support change management initiatives, update project plans, schedule briefings, and assist with general office accommodation and operational needs.
Requirements:
Qualifications
1. Master’s degree in project management/engineering management.
Professional Experience
1. Minimum three (3) years of experience in project administration, program coordination, or a closely allied function.
2. Proven track record drafting detailed project reporting, schedule management, and cross-functional coordination.
3. Demonstrated success working alongside project leaders, technical consultants, and external contractors.
Skills & Core Competencies
1. Advanced organizational capabilities with the ability to manage competing priorities.
2. High-level written/verbal communication and interpersonal skills.
3. Proficient in Microsoft Office (Word, Excel, Outlook) and core business software.
4. Exceptional analytical capability, record-keeping precision, and independent problem-solving skills.
Desirable Criteria
1. Practical experience within the energy or renewables sector.
2. Familiarity with specialized project scheduling, procurement tools, or document management platforms.
3. Understanding of enterprise governance standards and compliance protocol.
