Main Purpose
The purpose of this role is to support the safe, efficient, and professional day-to-day operation of the Sydney office and Melbourne meeting room facilities, ensuring a positive workplace experience for NICE employees.
Main Duties
Manage the smooth day-to-day operation of the Sydney office facilities, including:
o Manage the effective delivery of facilities services for the office located in a multi tenanted building.
o Manage reception responsibilities, including:
- Handle calls efficiently, take accurate messages, and manage visitors professionally.
- Issue access passes/access cards to current employees and NICE visitors following NICE Security Policy procedures.
- Manage the parking allocation.
- Ensure timely delivery of mail and courier services.
o Manage space planning and internal moves, and maintain a monthly occupancy report using the access control system.
o Coordinate routine maintenance, repairs, and general upkeep of office equipment and facilities.
o Act as the key point of contact for the cleaning company and building stakeholders,
including security, ground floor reception, contractors, and engineers.
o Coordinate bookings for large office meetings, training sessions, catering, and office events.
o Carry out the new starter induction process for employees joining in Australia,
ensuring a smooth transition.
o Maintain appropriate stock levels for stationery and pantry supplies.
o Liaise with the Accounts Payable team to support timely processing of office-related invoices.
o Ensure Health and Safety standards are implemented and maintained, and act as the Health and Safety Incident Control Officer in emergency situations.
Manage the smooth day-to-day operation of Melbourne meeting room facilities, including:
o Liaise with the shared office space provider regarding meeting room requirements.
o Maintain the employee access list for meeting room use.
o Monitor and update meeting room utilisation by NICE employees.
o Report weekly utilisation trends to NICE employees and the Real Estate team.
o Validate and submit invoices for timely payment.
Additional Duties
o Support the new hire onboarding process.
o Support HR with employee lifecycle activities, including:
- Employee onboarding and exit processes.
- Employee welfare events and activities.
o Support the Travel Desk by responding to new employee queries related to travel reimbursements.
o Provide on-site administrative support to the local Managing Director, including:
- Managing calendars.
- Setting up customer meetings.
- Booking travel and accommodation through the Travel Desk.
- Submitting expense claims.
Essential Requirements o Two to three years of experience as an Office Administrator, preferably managing an office with more than 130 employees.
o Experience in administration in a global high-tech company – an advantage.

o Ability to interface effectively with different professional focal points within the organization including IT, HR, Finance, Travel and corporate units.
o Highly organised, with the ability to manage multiple tasks effectively.
o Fluent in English - excellent written and verbal communication skills.
o A team player - excellent interpersonal and communication skills.
o Ability to work well under pressure while managing competing priorities.
o Full discretion - will be exposed to confidential information.
o Good computer skills, including Microsoft Office applications such as Outlook, Word,
Excel, PowerPoint, and AI tools.
o Demonstrated ability to work independently.
