As the Warehouse Assistant, you will play a crucial role in ensuring the smooth operation of our repair and maintenance services across Australia. This is a hands-on, operationally critical position supporting all areas of the business to delivery exceptional results.

You will take ownership of inventory control, parts management, and warehouse processes, ensuring accuracy, efficiency, and reliability across all stock movements. A key part of your role will be enabling service delivery by ensuring technicians are equipped with the right parts, in the right place, at the right time.

This includes proactively coordinating stock availability, responding to urgent requirements, and maintaining system accuracy to support job scheduling, costing,



and invoicing. Your ability to stay organised, communicate effectively, and work collaboratively will directly impact service turnaround times, first-time fix rates, and overall customer satisfaction.

Our warehouse operates five days a week, while our office team works a minimum of two days on-site, so you'll need to be comfortable working autonomously and managing tasks independently during the times you're the only one on the floor.

Key Responsibilities:

Warehouse & Inventory:

- Manage incoming goods ensuring attention to detail against purchase orders and delivery docket.

- Accurately receipt stock into the system and ensure correct labelling and bin allocation.

- Handle returns, warranty items, and faulty parts, including supplier coordination.

- Investigate and resolve stock discrepancies in a timely manner.

- Optimise storage locations for fast-moving and critical spare parts.

- Maintain an organised, clean, and efficient warehouse layout.

- Operate warehouse equipment (pallet jacks, walkie stacker) safely.

Logistics & Dispatch:

- Pick and pack goods securely to prevent damage during transit.





- Coordinate daily dispatch of parts and equipment to technicians and customers using courier portals.

- Manage urgent and same-day deliveries to minimise customer downtime.

- Ensure all dispatch documentation and system updates are completed accurately.

- Assist with large deliveries, warehouse moves, or setup changes.

Communication:

- Liaise daily with internal departments to ensure parts are ready ahead of scheduled jobs.

- Respond quickly to urgent parts requests and breakdown situations.

- Communicate stock shortages, delays, or issues to relevant teams.

- Maintain explicit and accurate system notes for stock movements and job allocations.

- Collaborate with the wider team to improve processes and workflow efficiency.

- Escalate issues promptly to ensure minimal disruption to operations.

Miscellaneous:

- Willingness to work flexible hours, including occasional evenings or weekends.

- Ability to travel as needed to meet clients or attend industry events (if applicable).

Qualifications and Skills:

- Previous experience in a similar role.

- Strong communication skills, both verbal and written.

- Excellent organisational and time management abilities.

- Ability to work effectively under pressure and prioritise tasks accordingly.

- Proficiency in multitasking and handling multiple responsibilities simultaneously.

- Attention to detail and accuracy in administrative tasks.

- Familiarity with relevant software and tools for scheduling, communication, and documentation.

- Knowledge of catering equipment industry or similar is advantageous but not essential.
