About the Role
Shepparton Medical Centre (SMC) is seeking a patient-focused and highly organised Practice Administrator to join our friendly and supportive team.
As the first point of contact for patients, visitors and practitioners, you will play a vital role in creating a welcoming and professional experience while supporting the day-to-day operations of our busy multidisciplinary medical clinic and Urgent Care Centre. You will be responsible for reception, appointment management, customer service and administrative support, helping ensure the smooth delivery of high-quality healthcare services. This role is ideal for someone who enjoys working with people, thrives in a rapid-paced environment and takes pride in delivering exceptional customer service.
You will:
- Welcome and assist patients, visitors and practitioners in a professional, respectful and friendly manner
- Manage incoming phone calls, enquiries and appointment bookings
- Register patients and maintain accurate patient records while ensuring privacy and confidentiality
- Support patient flow by proactively monitoring waiting areas and communicating with clinical staff
- Process patient payments, Medicare claims, receipts and financial transactions
- Undertake daily till reconciliation and associated administrative tasks
- Prepare consulting rooms and maintain clinic presentation standards
- Assist with ordering and managing clinic supplies, stationery and stock
- Provide high-quality customer service and effectively manage initial patient enquiries
- Contribute to quality improvement activities, accreditation requirements and service improvement initiatives

What You’ll Bring
- Experience in a reception, customer service, healthcare administration or similar administrative role
- Exceptional customer service and interpersonal skills
- Strong verbal and written communication skills
- Demonstrated ability to manage competing priorities in a busy environment
- High attention to detail and excellent organisational skills
- Sound computer skills, including experience using Microsoft Office applications
- Ability to work both independently and as part of a collaborative team
- Professionalism, discretion and commitment to maintaining confidentiality
Desirable (not essential — we'd still love to hear from you without these)
- Previous experience in a medical practice, healthcare or allied health environment
- Experience using Best Practice medical software
- Knowledge of Medicare processing, billing and EFTPOS transactions

Melbourne Teaching Health Clinics (MTHC) is a not-for-profit, wholly owned subsidiary of the University of Melbourne and provides world-class clinical training opportunities for the Faculty of Medicine, Dentistry and Health Sciences students. It also provides patient access to high-quality health care for members of the Victorian community, within a private practice setting.
